Job Description

We are seeking a Systems Coordinator to manage and optimise our student management systems, ensuring student data is accurate, reliable and compliant with regulatory requirements.

This role sits at the intersection of systems, data and operations, working closely with internal teams and external vendors to improve system functionality, streamline processes and maintain high standards of data integrity.

You will also play a key role in operational and regulatory reporting, using data analysis and business intelligence to identify trends, resolve issues and support informed decision-making across the organisation.

Key Responsibilities

• Manage and support key student and business systems, including the Student Management System (SMS), InPlace, JIRA and My eQuals.
• Work with internal stakeholders and external vendors to resolve system issues, implement enhancements and improve system functionality and processes.
• Monitor and maintain the accuracy, integrity and consistency of student data across systems.
• Produce and analyse scheduled and ad-hoc operational, management and regulatory reports, including Power BI dashboards.
• Support TCSI, QILT and other higher education and VET regulatory reporting requirements, including data preparation, validation and submission.
• Monitor data and reporting requirements to identify trends, discrepancies and areas requiring investigation.
• Maintain accurate student records and ensure key reporting fields, including census data, meet regulatory and organisational requirements.
• Develop and maintain system documentation, user guides and process manuals.
• Deliver training and guidance to staff to promote effective and consistent use of systems and processes.

Qualifications

• A Bachelor’s degree or higher in Computer Science or a relevant discipline.
• Experience working with Student Management Systems (SMS) and data within the higher education sector.
• Demonstrated experience with TCSI reporting, including data preparation, validation, submission and resolution of reporting errors.
• Experience with systems such as Meshed RTO Manager and JIRA, or similar platforms.
• Strong data analysis and reporting capability, including advanced Excel skills and experience with Power BI or Tableau.
• Strong attention to detail and a methodical approach to data integrity, management and compliance.
• The ability to translate technical information into clear, practical guidance for non-technical stakeholders.
• Strong organisational skills, with the ability to manage competing priorities and projects in a fast-paced environment.
• The ability to build effective working relationships with internal teams, external vendors and stakeholders across the organisation.
