Reporting to the Division Administrator in the Department of Ophthalmology and Visual Science, this position provides a high level of administrative and clinical support. Position includes surgical scheduling, coordinating faculty outlook calendars, clinic schedule changes, Qualtrics submissions and Qgenda requests, workday expense reporting and other duties as needed.
The Senior Administrative Assistant provides essential administrative support across various departments and disciplines, ensuring smooth operations and efficient workflow. Responsibilities include maintaining complex calendars, coordinating travel, organizing events, managing financial transactions, and supporting faculty and staff with administrative tasks. The role demands high-level organizational, communication, and customer service skills to interact effectively with internal and external stakeholders. The Assistant must handle sensitive information with discretion and maintain a professional demeanor at all times.
1.Proficient in EPIC scheduling, Workday expense processing and Outlook calendaring. Proven ability to utilize Microsoft Office, Adobe.
2.Excellent verbal and written communication skills, including grammar, spelling and punctuation.
3.Ability to deal with confidential and sensitive patient or faculty information in a professional manner while complying with all HIPAA regulations.
4.Outstanding interpersonal skills. Extraordinary customer service skills with ability to interact with all stakeholders professionally and effectively. Demonstrated actions as a caring and motivated team player.
5.Proven record of exemplary attendance, punctuality, and reliability.
6.Experience with surgical scheduling and special procedures.
Six years of related work experience, four of them in the same job family at the next lower level, and high school level education; or four years of related work experience and an Associate's degree; or little or no work experience and a Bachelor's degree in a related field; or an equivalent combination of experience and education.
