General Summary:
Schedules all operating room procedures and invasive procedures requiring general anesthesia in the operating room, procedure suites, medical Imaging (interventional radiology, CT, MRI, cardiac catheterization) at the main hospital.
Essential Job Functions:
Schedules all procedures into EPIC information system following established block schedule to accommodate surgeons' and anesthesiologists' schedules.
Coordinates changes in operating room schedule with physicians’ offices, surgical scheduler lead, and Scheduling Specialist. Notifies surgeons, anesthesia and nursing staff of pertinent additions and revisions to schedules. Initiates appropriate process to resolve scheduling conflicts and changes and supports conflict resolution.
Processes reservation information for admitting personnel.
Notifies anesthesiologist of all special requests for services.
Sends verification of surgical schedule when appropriate to physicians’ offices in advance for review.
Performs daily audits of surgical schedule and reports changes to Surgical Scheduling Specialist.
Coordinates complex combined surgical cases between OR and different procedural areas (i.e. IR, MRI, CT) and between multiple service lines.
Lead daily scheduling huddle with OR managers, Anesthesia coordinator, OR charge nurse and sterile reprocessing to resolve scheduling issues and ensure appropriate staffing and equipment coverage.
Work closely with service line office administrative assistants and schedulers to ensure they are maximizing use of their designated block time, and manage block releases in EPIC to improve OR utilization.
Monitors special needs requests (equipment, supplies, rep and staffing support), and communicates with staff and management to ensure appropriate coverage
Works with service line office administrative assistants and schedulers to confirm appropriate post-op destination and case order to ensure positive patient experience
Responsible for scheduling surgical cases at Northbrook ASTC, and anesthesia coordination for Lurie cases at Westchester ASTC and Northwestern.
Knowledge, Skills and Abilities:
High school diploma required.
Minimum one year experience working in a hospital within a clinical setting.
Working knowledge of medical terminology.
Proficiency with computer information systems and typing skills at 60-75 words per minute.

$18.00-$27.00 Hourly
