The Scheduler functions under the direction of the Practice/Office Manager and Director of Practice Operations. Responsible for performing a wide variety of clerical procedures that requires independent judgment and initiative. Knows the existing lines of communication and authority, handles communications properly and is dependable and cooperative. Works with staff and understands appropriate scheduling process, willing to learn procedures/patient preps. Assist physician's and office staff with scheduling issues in a timely manner. Handle heavy phone volume. Must be flexible with work hours to meet department needs.

Core Responsibilities and Essential Functions:

Scheduling Duties
- Scheduling surgeries
- Post the surgery to the physicians calendar
- Notify any vendors needed for the surgery
- Coordinate any co-surgeries with other physicians offices
- Obtaining prior authorization for surgeries
- Completing all paper work associated with the surgeries
- Faxing all paperwork associated with the surgery to the hospital as well as to the insurance company
- Manage scheduling templates for the providers in Epic
- Keeping the surgery calendar up to date and current
- Review the schedule for double bookings and scheduling errors that need to be corrected
- Review the records for all new patients requesting a new patient appointment and discuss these with physician/s to get a time frame that the patient needs
- Reviewing the physicians schedule to appropriately schedule patients based on their medical condition
- Complete forms and paper work for patients (FMLA, disability, etc.) and follow up with any additional information needed
- Other duties as assigned Team Player
- Assists other areas of Scheduling when needed.
- Flexible with hours to meet the department needs.
- Meets Service Recovery and Customer Service Guidelines as needed.
- Provides appropriate telephone etiquette and scripting Mentoring, Training and Education
- Assists in training new employees and assures proper documentation of training as needed.
- Assists other areas of Scheduling when needed.
- Understands existing lines of communication and authority, handles communications properly and is dependable and cooperative.
- Communicate scheduling issues to patient, facility, and/or office staff.
- Works well with Staff and understands appropriate department process.

Required Minimum Education:

High school diploma Required or
equivalent. Required

Required Minimum License(s) and Certification(s):
All certifications are required upon hire unless otherwise stated.


Additional License(s) and Certification(s):

Required Minimum Experience:

Minimum 2 years experience working in a surgical office setting or medical scheduling Required

Required Minimum Skills:

Strong customer service skills, good communication and organizational skills.
Basic insurance carrier and pre-certification knowledge and computer skills.
Medical Terminology preferred.
The individual must be able to communicate and understand verbal and written English language and display a positive attitude.
