  • Position: Supporting Documentation Supervisor
  • Location: Houston, Texas (Kirby Drive)
  • Work Environment: 100% on-site / in office
  • Schedule: Monday–Friday, 8:00 a.m.–5:00 p.m.
  • Additional Hours: This leadership position may require additional hours outside the standard schedule based on business, staffing, or operational needs

The Role: The Supporting Documentation Supervisor provides daily direction, leadership, and support to the documentation and medical records team, ensuring excellent customer service and operational effectiveness. This role plays a critical part in maintaining documentation standards and process improvement while stepping in to support routine functions when needed.

Lead & Develop Your Team

  • Provide daily direction, coaching, and support to assigned staff
  • Conduct regular 1:1 meetings and provide ongoing feedback
  • Lead department meetings and promote clear team communication
  • Coordinate schedules to maintain appropriate coverage
  • Help build an accountable, collaborative, and positive team environment
  • Partner with leadership to identify development and training opportunities

Improve Quality & Processes

  • Support Continuous Quality Improvement (CQI) initiatives
  • Develop and conduct departmental audits focused on accuracy and efficiency
  • Identify workflow challenges and recommend practical solutions
  • Implement process improvements that support team and organizational goals
  • Review and update departmental work instructions and policies

Support Training & Systems

  • Partner with leadership to develop and implement training protocols
  • Support consistent onboarding and ongoing employee development
  • Assist with EHR development and effective system utilization
  • Participate in department-related PIG meetings and initiatives

Maintain Documentation & Compliance Standards

  • Promote accurate and timely documentation within the EHR
  • Ensure HIPAA requirements and patient confidentiality standards are followed
  • Maintain department competency and adherence to applicable internal and external requirements
  • Reinforce consistent documentation practices across the team

Keep Operations Moving

  • Step in to support routine department functions when additional assistance is needed
  • Help resolve escalated or problematic documentation requests
  • Identify operational barriers and work collaboratively toward solutions
  • Maintain ongoing communication with leadership regarding staffing needs, workflow concerns, department performance, and opportunities for improvement

  • Documentation is handled accurately, consistently, and efficiently
  • Operational challenges are identified and addressed proactively
  • Training and work instructions remain current and practical
  • Teams work collaboratively across departments
  • Quality, compliance, customer service, and continuous improvement remain central to daily operations

Qualifications

  • 2+ years of supervisory or lead experience, preferably in healthcare administration, documentation, medical records, or a related environment
  • Working knowledge of HIPAA requirements and EHR systems
  • Demonstrated ability to coach, develop, and support employees
  • Strong communication and interpersonal skills
  • Excellent organizational skills with the ability to manage competing priorities
  • Strong critical-thinking and problem-solving abilities
  • Familiarity with quality assurance, auditing, and process improvement
  • A collaborative leadership style and willingness to remain involved in day-to-day operations when needed
