POSITION Support Services Secretary (Special Education)

LOCATION Brandon School District – Central Office

OF THE DISTRICT

The Brandon School District is a mid-size school district nestled in Northwest Oakland County. The district has approximately 900 students in junior kindergarten-5th grade between the two elementary schools, approximately 500 at the middle school level and approximately 600 at the high school. This small, tight knit community has a strong connection to its schools and is passionate about the education of its youth. Brandon High School sends 85-90% of its graduates to post-secondary school each year, it was ranked in the 82nd percentile of all schools in the State on the top-to-bottom rankings and it was awarded as a Silver Medal Winner by the US News.


MINIMUM QUALIFICATIONS

  • High school diploma or GED required. Associate's or Bachelor's degree preferred.
  • Minimum of one year of administrative or secretarial experience in a special education, student services, or educational setting preferred.

KNOWLEDGE, SKILLS AND ABILITIES

  • Experience working with confidential student records and information.
  • Experience with student information systems, special education documentation systems, or other web based programs preferred.
  • Ability to work effectively with minimal supervision and under pressure.
  • Highly organized and able to prioritize workload, along with strong problem solving skills.
  • Strong organizational abilities and attention to detail.
  • Strong interpersonal skills to maintain effective relationship with staff.
  • Working knowledge of Individualized Education Programs, special education processes, programs, services, and terminology.
  • Knowledge of, or the ability to learn and apply, federal, state, intermediate school district, and local requirements related to special education.
  • Ability to understand and monitor compliance driven timelines, including IEPs, evaluations, student transfers, reporting requirements, and other mandated processes.
  • Excellent organizational skills with the ability to manage multiple priorities, deadlines, calendars, and projects simultaneously.
  • Strong written and verbal communication skills with the ability to communicate professionally and effectively with families, staff, administrators, outside agencies, and community partners.
  • Ability to exercise sound judgment, maintain appropriate professional boundaries, and handle sensitive situations with discretion.

ESSENTIAL FUNCTIONS

Director and Department Support

  • Serve as the primary administrative support and point of contact for the Director of Student Support Services.

IEP Compliance and Student Records

  • Maintain and monitor districtwide Student Support Services data, including IEP and reevaluation timelines, programs and services, service hours, referrals, student enrollment and exits, and other compliance related information.
  • Process and maintain IEP documentation, including reviewing submitted materials for completeness, entering and updating information within district systems, maintaining confidential records, and distributing finalized documentation as appropriate.
  • Coordinate special education enrollment and transfer processes for incoming and outgoing students. Obtain and organize records, identify existing IEPs and services, track required timelines, and communicate with families, staff, outside districts, and other appropriate parties to support continuity of services.
  • Maintain secure paper and electronic Student Support Services records in accordance with district procedures and applicable privacy and confidentiality requirements.

State Reporting, Assessment and Pupil Accounting

  • Collaborate with Pupil Accounting during Fall, Spring, End of Year, and other required reporting periods to review special education data for accuracy prior to certification.
  • Access and review MSDS and district reports to identify potential discrepancies involving IEP dates, enrollment, programs, services, and other special education reporting elements. Cross reference information with MiStar and department records and coordinate necessary corrections.
  • Maintain internal tracking systems and supporting documentation for pupil accounting, state and federal reporting, audits, monitoring activities, and intermediate school district requirements.
  • Assist with State and Federal Programs reporting and other required submissions, including gathering documentation, verifying information, maintaining supporting records, and learning new reporting processes as requirements change.
  • Enter and maintain state testing accommodations and other required assessment information for students with disabilities and support staff with assessment related questions and procedures.

Medicaid Coordination

  • Serve as a primary department contact for school based Medicaid processes. Maintain provider and staff pool information, communicate billing requirements and deadlines, monitor monthly and quarterly billing completion, and track open or missing billings.

Section 504 and Student Support Processes

  • Support district Section 504 processes by entering and maintaining plan information, processing required documentation, supporting staff with district systems and forms, and ensuring records are securely maintained and distributed.
  • Process DSR and other Student Support Services records requests in accordance with district procedures and confidentiality requirements.

Professional Development and Staff Support

  • Coordinate department professional development and required staff training, including registration, scheduling, communication, materials, attendance records, completion tracking, and other logistical needs.

Financial and Operational Management

  • Coordinate departmental purchasing and financial processes, including purchase orders, invoice reconciliation, purchasing card transactions, payroll documentation, contracted services, ordering, vendor communication, and maintenance of supporting financial records.

Compliance and Continuous Improvement

  • Support compliance with federal, state, intermediate school district, and district requirements by maintaining accurate records, monitoring established timelines, organizing documentation, and communicating potential concerns to appropriate staff.

Perform other duties as assigned by the Director of Student Support Services or district administration.
