We are seeking a dedicated Support Service Coordinator I to join our team. In this vital role, you will work hand-in-hand with the UDC Fleet Administrator to oversee, coordinate, and optimize our vehicle and equipment fleet. From coordinating with vendors and tracking preventative maintenance to managing data entry and administrative workflows, you will be the backbone that keeps our fleet operations running smoothly. Qualifications Responsibilities: Assist the UDC Fleet Administrator with the management of UDC’s vehicle and equipment fleet Retrieve data found in databases and fleet management systems to generate requested reports; enter data into databases and systems; check information for accuracy and completeness Review and approve billings and payables Track the completion of key tasks for UDC vehicles and drivers, such as preventative maintenance, defensive driving courses, etc. Communicate with UDC leadership and drivers to ensure key tasks are completed in a timely manner Interface with outside vendors, including requesting quotes, scheduling maintenance, etc. Coordinate the delivery of vehicles to vendors, UDC offices, and other locations Respond to inquiries, questions, and requests from UDC employees Facilitate the scheduling and assignment of state vehicles and monitor outgoing and incoming vehicles Provide administrative support, including scheduling meetings, taking minutes, tracking or completing post-meeting deliverables, mail processing, etc. Research and review financial records, schedules, reports, and/or problem areas Maintain accurate records and logs Complete other tasks as assigned Ideal candidate: Strong interpersonal skills to build and maintain professional relationships with UDC staff and external partners Excellent verbal and written communication skills to effectively coordinate with drivers, managers, and outside vendors Exceptional timeliness and reliability High level of attention to detail Experience with Google Workspace (Sheets, Docs, etc.) or other office software such as Excel and Word Must possess a valid Utah driver license and have a clean driving record
