Your Role
Provide administrative support to Sales Operations to enhance overall operational efficiency. Manage daily sales activities, including processing sales orders and credit notes, issuing invoices, coordinating deliveries, and maintaining proper documentation and filing systems.
What you’ll do
Manage end-to-end order processing documentation, from quotation to delivery order (DO) and sales invoice, in compliance with company policies and procedures
Track and manage orders through close coordination with cross-functional teams, including daily follow-up on outstanding or back orders and timely release of open orders
Liaise with third-party logistics (3PL) providers to schedule deliveries and resolve fulfillment issues such as damaged, incorrect, or short shipments
Coordinate with internal and external stakeholders to handle inquiries related to delivery status and stock availability
Prepare daily and monthly reports, including inventory status and open sales orders
Perform other administrative duties or ad hoc projects as assigned
Who you are
Diploma in Business Administration, Logistics, Marketing, or a related field
2–3 years of experience in administrative or coordination roles
Experience with sales order processing, billing, warehousing, and shipment procedures
Knowledge of SAP/ERP systems is an added advantage
Proficient in Microsoft Office, especially Excel
Skills & Competencies
Confident, positive, and self-motivated, with the ability to work independently in a fast-paced environment
Strong communication, interpersonal, and telephony skills
Good organizational, planning, and time management skills to support stakeholders effectively
Detail-oriented with high accuracy in data processing to minimize customer disputes
Able to work under pressure and meet tight deadlines
Methodical and analytical, with strong problem-solving abilities and practical judgment

You will be based in PJ 33 and reports to Logistics Manager
