Supply Chain & Order Management Specialist
Role purpose
This professional is responsible for ensuring the efficient execution of customer orders from receipt to delivery, while supporting supply chain operations, inventory availability, and logistics coordination. The role acts as a key interface between customers, suppliers, warehouses, logistics partners, Project Managers, and internal stakeholders to ensure accurate, timely, and cost-effective order fulfilment and delivery of goods.
Order Management
· Process and manage customer orders from receipt through to fulfilment.
· Ensure orders are entered, maintained, and updated accurately in the ERP system.
· Monitor order progress and proactively resolve issues that may impact delivery.
· Maintain complete and accurate order documentation.
· Communicate order status updates to customers and internal stakeholders.
· Handle order amendments, documentation queries, returns, and discrepancies in a timely manner.
Supply Chain Coordination
· Coordinate with suppliers, warehouses, and logistics partners to ensure product availability and timely delivery.
· Support procurement and replenishment activities to maintain appropriate inventory levels.
· Monitor stock availability and initiate actions to prevent shortages or excess inventory.
· Collaborate with cross-functional teams to optimize supply chain performance.
· Ensure smooth coordination between supply chain operations and customer requirements.
Logistics & Delivery Management
· Track shipments and monitor delivery performance.
· Liaise with logistics partners to resolve transportation and delivery issues.
· Ensure compliance with shipping requirements and documentation standards.
· Support timely and accurate delivery of products to customers and project sites.
· Escalate delivery risks and propose mitigation actions where required.
Inventory Planning & Forecasting
· Assist in demand forecasting and inventory planning activities.
· Analyze inventory trends and recommend stock optimization measures.
· Support the development of supply plans aligned with customer demand and business forecasts.
· Maintain inventory accuracy through regular reviews and reconciliation activities.
· Contribute to continuous improvement initiatives within the supply chain planning process.
Project and Service Support
· Support Project Management to ensure materials and equipment are delivered according to project schedules.
· Coordinate order execution activities for customer projects.
· Provide visibility on material availability, delivery schedules, and supply chain risks.
· Support project documentation and reporting requirements.
· Collaborate with internal stakeholders to ensure successful project execution.
Asset management
· Update and maintain the Integrated Service Platform in support of project and service delivery.
· Update and maintain the Field Service App.
· Create Power BI reports to monitor and track service KPIs.
Management Information
A clear and transparent flow of information.
· Prepare order, inventory, and delivery performance reports as required.
· Monitor and report key supply chain KPIs.
· Identify process improvement opportunities and support implementation initiatives.
· Communicate effectively with customers, suppliers, logistics partners, and internal stakeholders.
Policy adherence
· Ensure alignment with Compliance and Business Conduct Guidelines.
· Ensure adherence to company policies, procedures, and supply chain governance requirements.
· Support compliance with local regulations, import/export requirements, and customer-specific obligations.
· Maintain accurate records and audit-ready documentation.
What you need to make real what matters
· Previous experience in Supply Chain, Order Management, Logistics, Procurement, or a related field.
· A sound educational background in Supply Chain Management, Business Administration, Logistics, or equivalent.
· Strong organizational and multitasking skills.
· Proficiency in ERP systems and order processing software; SAP experience preferred.
· Good analytical and problem-solving capabilities.
· Excellent communication and stakeholder management skills.
· Strong attention to detail and commitment to accuracy.
· Ability to prioritize workload and work effectively under pressure.
· Good IT skills, including Microsoft Office applications: Excel, Power BI, Word, PowerPoint, and Outlook.
· A proactive and customer-focused approach.
· Ability to work collaboratively within cross-functional and international teams.
