Northrop Grumman Aeronautics Systems has an opening for a Supply Chain Operations Coordinator 3 (DOT/Fleet Administrator)to join our team of qualified, diverse individuals. This position will be based in Clearfield, UT

Will operate on 1st shift with a 4/10 schedule – Monday through Thursday, 5am-3:30pm

General Responsibilities:

Essential Functions:

  • Tracking expiration dates

  • Escort non-badged vendors.

  • Create work orders in Fleetmate.

  • Order misc. parts as needed.

  • Respond to customer’s requests for repairs.

  • Coordinate repairs with outside vendors and dealers.

  • Create Fleetmate file for new vehicles.

  • Annual Opacity testing

  • Coordinate quarterly CHP inspection (January, April, July, October).

  • Support annual BIT bus terminal inspection (October/November).

  • Place bulk oil and DEF orders and needed

  • Place order to fill unleaded and diesel holding tanks as needed

  • Place order with fuels dept. to fill Jet fuel tank

  • Monitor truck tire inventory:

  • Gather EIN compliance information on new material handling equipment and report to ESHM.

  • Transport vehicles and trucks to vendor’s shop for repair and maintenance.

  • Pay credit card charges for vendors without an active PO agreement.

Fleet Operations:

  • Assist with asset disposal and transfer process

  • Support Pool Vehicles Requirements / Rentals Process when vehicles are being repaired

  • Assist in Title, Registration and all areas of keeping the Fleet compliant

  • Analyzes, evaluates, and approves maintenance invoices (including Heavy Duty Class 8 vehicles) and takes remedial action to minimize budgetary abuse

  • Evaluate and approve maintenance requests as required, sending up for management approvals

  • Assist in ensuring all vehicles are maintained to manufacturer recommendations

  • Responsible for compliance related to operating a Commercial DOT Fleet

  • A clear understanding of Title, Registration and Permitting process for all types of vehicle to include IFTA, Base and IRP procedures & PFR

  • Receiving & filing required documents

DOT Compliance

  • Maintain Driver Qualification files and records in partnership with DOT & JJ Keller.

  • Meet DOT requirements as well as applicable state laws/FMCSA guidelines.

  • Assure NGC DOT Drug and Alcohol program is compliant with the FMCSA Clearinghouse regulations.

  • Complete DOT IFTA reports quarterly manually or using platforms, currently used with observed opportunities within JJ Keller.

  • Complete and file MCS150 Bi-Annually.

  • Work with OTR Transportation Coordinators to Obtain, Install, and Audit Commercial Vehicles for required permits for Hazmat Alliance.

  • Set up and train employees on ELDs.

  • Ensure equipment has current registration, paperwork, and safety equipment.
    IRP - IFTA - DOT - PHMSA - MCS-150 - 30 DAY TRAINING - EPN CALIFORNIA - RANDOM DRUG TESTING - HAZMAT ALLIANCE - DOT DRIVER FILES - DOT TRUCK FILES - CALIFORNIA CHP

Basic Qualifications:

  • High School diploma or equivalent and 4 years additional education and/or related experience in transportation and fleet coordination, logistics, supply chain, or another relevant field.

  • Ability to obtain and maintain a DoD Secret clearance within a reasonable time period, as determined by the company to meet its business needs (after starting).

Preferred Qualifications:

  • Prior experience with DOT and Fleet administration or coordination.

  • Knowledge of Class 5 - Class 8 vehicles

  • Handle tasks independently with minimal direction and guidance, including the ability to prioritize project activities and be detail-oriented.

  • Strong organizational skills, with the ability to direct and achieve priorities, goals, and strategies with limited supervision.

  • Proficiency in testing procedures, testing documentation, and security of testing files are required.

  • Experience maintaining confidentiality, personal integrity, and dependability.

  • Ability to deal with sensitive issues and maintain security and confidentiality.

  • Adaptable to fast-paced environments with changing circumstances, direction, and strategy.

  • Excellent verbal and written communication skills.

  • Able to multi-task.

  • Ability to work cooperatively and professionally with various individuals, exercising tact and discretion.

  • Demonstrate analytical and critical thinking skills.

Primary Level Salary Range: $21.35 - $35.58The above salary range represents a general guideline; however, Northrop Grumman considers a number of factors when determining base salary offers such as the scope and responsibilities of the position and the candidate's experience, education, skills and current market conditions.Depending on the position, employees may be eligible for overtime, shift differential, and a discretionary bonus in addition to base pay. Annual bonuses are designed to reward individual contributions as well as allow employees to share in company results. Employees in Vice President or Director positions may be eligible for Long Term Incentives. In addition, Northrop Grumman provides a variety of benefits including health insurance coverage, life and disability insurance, savings plan, Company paid holidays and paid time off (PTO) for vacation and/or personal business.The application period for the job is estimated to be 20 days from the job posting date.
