Job Summary:

The Supply Chain Manager oversees the procurement, inventory management, distribution, and utilization of supplies and equipment within OakLeaf Surgical Hospital. This role ensures the organization has a consistent and cost-effective supply chain to support patient care and operational needs.

Essential Job Functions

Operational

• Direct the daily operations of the Supply Chain department, including purchasing, receiving, inventory control, distribution, and storage of supplies and equipment
• Maintain reliable inventory levels by monitoring usage, expiration dates, and stock levels; partnering with clinical leaders to anticipate procedural and operational needs; and coordinating substitutions to prevent shortages and reduce waste
• Oversee the sourcing and purchasing of medical supplies and equipment in accordance with hospital requirements, approved contracts, and purchasing policies
• Monitor supply expenditures, investigate variances, and identify opportunities to reduce costs while maintaining quality and availability
• Ensure supplies and equipment are received, stored, and handled in accordance with applicable safety, infection prevention, regulatory, and accreditation requirements
• Evaluate and resolve product quality, availability, or performance concerns in coordination with vendors, clinical teams, and other stakeholders
• Maintain accurate purchasing, inventory, and vendor records and use supply chain data to support operational decisions
• Use the organization's secure messaging platform in accordance with departmental protocols, including timely receipt and responses to communications

Workforce Management

• Supervise Supply Chain staff by assigning work, setting priorities, planning coverage, monitoring performance, and ensuring adherence to hospital policies and procedures
• Provide coaching, training, feedback, performance evaluations, and corrective action
• Ensure employees have the resources needed to work safely and effectively
• Foster accountability, collaboration, engagement, and professional development

Provider Relations

• Build effective relationships with physicians and clinical leaders to understand supply and equipment needs, preferences, and concerns, and to evaluate new-product or equipment requests based on clinical need, standardization, cost, and availability
• Serve as the liaison among providers, hospital leadership, vendors, and the corporate management company, communicating product changes, shortages, substitutions and implementation plans

Strategic

• Develop and implement supply chain strategies that support patient care, operational efficiency, product quality, and responsible use of hospital resources
• Partner with Corporate Supply Chain on vendor selection, contracting, product standardization, and negotiations; implement approved vendor and GPO agreements; and manage vendor performance and issue resolution at the facility level
• Partner with hospital leadership and the corporate management company to identify cost-saving opportunities, improve processes, and apply relevant industry best practices
• Monitor and use supply chain performance measures, including cost per case, inventory turns, contract compliance, purchase and receiving timeliness, expired or excess inventory, open orders, product availability, and realized savings, to support operational and financial decisions.
• Lead supply chain planning for the capital budget, including gathering clinical requirements, evaluating options, and supporting vendor negotiations
• Monitor industry trends, regulatory changes, and supply risks
• Recommend updates to purchasing practices, inventory processes, and applicable policies

• Healthcare supply chain knowledge, including purchasing, receiving, inventory control, distribution, storage, medical and surgical supplies, equipment, and surgical-hospital supply needs
• Financial management knowledge, including budgeting, payroll, expenditure analysis, and cost-containment principles in a healthcare environment
• Leadership skills, including setting expectations, providing feedback, identifying skill gaps, coaching employees, managing performance, and leading teams through change
• Problem-solving and continuous-improvement skills, including analyzing issues, developing effective solutions, improving processes, and adapting workflows as circumstances change
• Strong written, verbal, interpersonal, and customer-service skills, with the ability to work independently and collaboratively across multidisciplinary and cross-departmental teams
• Employee-relations skills, including addressing staff concerns, resolving disputes, supporting a positive work environment, and escalating employee-relations or safety issues as appropriate
• Knowledge of employment, human resources, HIPAA, confidentiality, patient-rights, safety, and compliance requirements, supported by ethical judgment and integrity
• Ability to prioritize competing demands, maintain accuracy, use computer systems at an intermediate level, remain current on job-specific trends and technologies, and demonstrate organization-wide performance-review competencies

Qualifications:

• Demonstrates eligibility for employment in the U.S.
• High school diploma or G.E.D. equivalent required
• Associate’s degree in Supply Chain Management, Business Administration, Healthcare Management, or a related field of study preferred
• Four (4) years of healthcare purchasing experience required
• Two (2) years of demonstrated healthcare purchasing leadership experience preferred
• Must possess a cell phone that interfaces with the organization’s secure messaging system
