Job Summary

Manages, maintains, and updates supply chain contract files, data, and systems, ensuring maximization of Group Purchasing Organization (GPO) and local contracts for high contract penetration. Identifies targets of opportunity through analysis of data to ensure price accuracy, supplier performance and implements initiatives to achieve savings. Assists in developing contracting strategy and supports all aspects of the contract negotiation process.

Essential Functions

  • Manages supply, service, and capital contracts from implementation spend tracking to renewal management.
  • Under independent delegated authority, plans, awards, and administers contracts for goods and services covering a wide range of technically complex products and serve as liaison with surgical and integrated clinical services staff to ensure effective overall operation of the procurement, contracting and payables system.
  • Assists in identifying potential savings opportunities by interpreting data and using other available resources to prioritize and build a pipeline.
  • Provides supporting initiative documentation as requested for Service Line Category Management Committees to drive value.
  • Develops and maintains client relationships and ensures continuing client satisfaction.
  • Supports item master, contract management system, and GPO systems to support contract compliance, item information, and pricing accuracy.
  • Assists in developing and maintaining contracts and bid calendars.
  • Gathers data and customer feedback in preparation for supplier scorecards and business reviews.
  • Manages Supply Chain owned contracting process for supported service line, including contract redlines and edits, routing for signatures, and storage in contract management system.
  • Identifies best practices for conducting major contracts in a cost effective and expeditious manner, while managing risk issues and ensuring compliance with external rules and regulations.
  • Provides support in the development of long-term procurement and contracting strategies and implements procedures and systems which support continued growth.
  • Coordinates with clients regarding their requirements; drafting of technical specifications; recommending technical assistance and proposing standardization of goods when appropriate.
  • Analyzes bids for multi-commodity purchase contracts and/or procurement of products with complex features; recapping vendor responses when required in a clear, easy to understand fashion; auditing responses according to established procedures; selecting and informing appropriate parties of the selection in positive, concise fashion.
  • Performs other duties as assigned.

Supervisory/Management Responsibilities

  • This is a non-management job that will report to a supervisor, manager, director or executive.

Minimum Requirements

  • Education - Bachelor's degree in Business Administration, Supply Chain, Materials Management, Communications or related field of study.
  • Experience - Two (2) years of related work experience.

In Lieu Of

  • In lieu of the education and experience requirements noted above, an equivalent combination of work/academic experience may be considered (i.e., six years related work experience OR Associate degree and four years related work experience).

Knowledge, Skills and Abilities

  • Working knowledge of Supply Chain functional areas. Familiarity with contract review process and redlining. Ability to identify and solve purchasing and contract problems. Familiarity with GPO benchmarking and other healthcare supply chain tools.
  • Ability to work with hospital administrative departments, clinicians, and hospital executives to facilitate adoption and standardization of services and products that create efficiencies and cost reduction efforts throughout the organization.
  • Ability to use metrics to drive decisions.
  • Ability to solve complex problems effectively and manage multiple high priority deliverables.
  • Ability to maintain current knowledge of technological and market development in assigned commodity area(s).
  • Interpersonal skills. Ability to foster vendor relationships that will drive toward a successful partnership.
  • Communication/facilitation skills. Ability to convey messages logically, simply, and with confidence. Ability to rapidly summarize information and present it to others.
