Duties & Responsibilities

Depot Operations

• Plan and maintain depot tracking rosters to ensure adequate staffing and operational coverage.
• Attend to and resolve gate reconciliation queries timeously.
• Monitor and update all tracking amendments to maintain accurate system records.
• Compile and distribute daily stock reports for management review.
• Manage and control staff leave and sick leave schedules.
• Capture releases onto the Depot Management System
• Monitor stock levels and allocations
• Oversee the OVD Tracking System
• Attend meetings regarding system implementation
• Assist in investigating any abnormal occurrences (theft / losses)
• Assisting with Depot related issues after hours
• Supervise and ensure that Monthly and weekly Cognos Report is correct.
• Ensure that Monthly and weekly timeously and accurate Invoicing.

Reports

· Daily Depot Stock Report

· Reefer Stock Report

· Quarterly Depot Stock Takes

Customer Service

• Respond promptly and professionally to client tracking queries.

Adhoc

• Perform general administrative duties, including typing, filing, and updating organisational charts.
• Carry out any lawful and reasonable instructions issued by your manager.

Desired Experience & Qualification

Min Requirements

• Grade 12 / Matric (a relevant tertiary qualification in Administration or Logistics will be advantageous).
• Minimum of 3–5 years’ experience in an administrative or supervisory role within a logistics, transport, or container depot environment.

•Strong knowledge of container tracking systems and related operational processes.

•Proficient in MS Office Suite (Excel, Word, Outlook) and general administrative systems.

•Excellent communication and organisational skills with strong attention to detail.

•Ability to manage staff, prioritise tasks, and work effectively under pressure.
