
The Accounting Supervisor – Receiving core responsibilities is to manage the goods and deliveries moving in and out of the hotel and will ensure that these deliveries reach the appropriate destinations and logged according to standards.
As the Accounting Supervisor – Receiving cum Storekeeper, you will be responsible for performing the following tasks to the highest standards:
Be familiar and adhere with Hilton’s Standards, policies and procedures.
Ensure that all incoming goods are received via the receiving area, with deliveries properly checked against purchase orders and market lists.
Maintain vigilance in ensuring the security of the loading dock.
Receive and forward all goods and deliveries in and out of the hotel to the correct point of contact / storage area.
Verify the accuracy and acceptance of all purchased products into the hotel in respect of volume/quantity and quality
Keep accurate recordings of all incoming and outgoing goods
Immediately report and follow up with appropriate Assistant Manager/ Finance Manager on any discrepancy on goods / services and/or documents delivered. Ensure that accumulated daily invoices agree to amounts transferred to Accounts Payable.
Ensure all documentation (purchase orders, invoices, delivery dockets, etc.) is forwarded to Accounts Payable on a timely basis.
Assist in the daily operation of the storeroom to include, but not limited to, receiving and placing product, reconciling received items to purchase orders to verify accuracy, rotating stock, conducting inventory and issuing and delivering items to departments.
Ensure the security of all stores, including proper restrictions on the issue of keys and general access.
Maintain exclusive control over Finance stores of the hotel with respect to issue releases, control over deliveries and hotel stock counts.
Ensure all inventory items are correctly set up in the hotel inventory system including sizes, descriptions, purchase units etc.
Ensure that proper records are kept of inventory receipts, issues, returns and transfers and proper authorization thereof.
Ensure current par stock levels are maintained and constantly reviewed.
Monitor and investigate spoilage and recommend appropriate actions to reduce.
Adhere to all Health and Safety procedures particularly relating to food and beverage items
Ensure that the loading dock and stores are kept clean and tidy at all times, free from clutter and hazards.
Ensure that all month end procedures are strictly followed, and deadlines are met.
Assist and support Team Members, Managers and the wider Food & Beverage Department in a team environment
Handle all requests and inquiries in a timely and efficient manner.
Maintain an adequate and up to date record and filing system.
Follow up on any discrepancies, incomplete work or missing information with the relevant team members / departments / suppliers.
Flexible in relation to working hours, especially at month and year-end.
Support during internal and external audits.
Assists the Finance Leader in any other way deemed necessary for the efficient overall operation of the Finance Department.
Support the Finance Leader to develop best-in-class hotel Finance teams, including participation in all relevant Finance development programs.
Carry out any additional duties and responsibilities as assigned to ensure that the department functions smoothly.
