Job Description

Preferred candidates are local (Onsite) or Hybrid workers within a commutable distance to NorthBay Campuses in Fairfield California.

Candidates must be available schedule 7am -5pm PST

At NorthBay Health the Supervisor, Billing and Follow Up supervises the business office functions involving the billing and follow-up of technical and professional charges generated by the outpatient hospital-based specialty departments. Acts as liaison to the hospital specialty departments. Responsible for evaluation, suggestion and recommendation of policies and procedures. Supervisory responsibilities include training, business office operations, fiscal accountability, staffing, personnel management, and staff development. Assures compliance of regulatory requirements, facilitates communications, and provides effective leadership within department. Coordinates and assists the management team for Patient Financial Services.

  1. Education A.A. or high school degree with equivalent in education/experience.
  2. Experience Four years of hospital or physician billing & follow-up experience required. A minimum of one year of Medicare and/or Medi-Cal experience is required. At least one year in a leadership role is required. Supervisory experience preferred.
  3. Skills: Ability to quickly master computer programs related to claims processing. Ability to access websites for regulatory information. Ability to understand the terms of payor contracts. Ability to understand Medicare and/or Medi-Cal regulations. Ability to understand Knox-Keene regulations as well as demonstrate an understanding of managed care concepts and terminology. Knowledge of personal computers with an emphasis on spreadsheet and word processing programs required.

Basic Skill Requirements:

The Supervisor is expected to know these skills when hired into this job:

  • Ability to effectively lead and motivate specialty billing unit staff as well as internal staff within specialty departments.
  • Ability to communicate clearly and effectively, both in listening, talking, and writing.
  • Ability to master computerized claims processing programs quickly.
  • Ability to master financial systems and assist with billing rules.
  • Ability to relate cordially with co-workers, members, providers, and others.
  • Knowledge of Government billing regulations, fee schedules and correct coding edits.
  • Knowledge of charge master file maintenance including CPT-4/HCPCS/ pass through codes and pricing
  • Knowledge of medical terminology.
  • Knowledge of hospital and/or clinic and professional fee billing.
  • Knowledge of ICD-10, and Revenue Codes
  • Knowledge of UB92 and HCFA 1500 Forms
  • Knowledge of Coordination of Benefits Rules
  • Knowledge of Knox-Keene regulations
  • Knowledge of managed care terminology (capitation, PPO, stop loss, etc.)
  • Knowledge of business math (debits, credits, etc.)

The Supervisor will be educated and expected to learn the following within the 90-day introductory period:

  • Knowledge of billing and follow-up procedures for the specialty area (Cancer Center, ABC Clinic, etc.)
  • Knowledge of contract rates and government fee schedules specific to specialty departments and physicians
  • Knowledge of compliance and fraudulent billing practices
  • Knowledge of Medicare as Secondary Payer guidelines and regulations
  • Knowledge of Advanced Beneficiary Notices
  • Knowledge of Work Comp, Medi-Cal and Medicare regulations and billing guidelines
  • Knowledge of the NorthBay computerized financial system and other systems such as the electronic billing system(s).

Other Requirements:

  • Must have a private, distraction-free area in your home for work (HIPAA reasons).

  • Web-cam training will be used frequently for team engagement.

  • Internet Requirements: Must have high speed internet.

Compensation Structure

NorthBay Health uses a structured compensation framework. Staff-level positions use a step-based system (Steps 1–5) based on years of directly related experience, with Step 5 representing 20 or more years of experience in the role. Manager level and above positions are paid a fixed annual base salary and are eligible for a variable incentive compensation plan. Physician compensation is structured based on specialty and role requirements.
