
Supervisor, Facilities

The Facilities Supervisor supervises, monitors and coordinates the activities and repairs carried out by the maintenance technicians and vendors related to tenant work orders, unit turnovers and building needs. This position works collaboratively with Asset Management, Portfolio Management, onsite staff, Program Managers and Leadership to ensure all property maintenance activities are addressed and followed through in a timely efficient manner.

· Assess maintenance needs, determine scope of work, and direct maintenance technicians or vendors to complete routine and major repairs in a timely and cost-effective manner.
· Communicate repair priorities to Portfolio Managers based on budget constraints, operational needs, and property conditions.
· Monitor recurring maintenance issues reported by technicians and vendors and coordinate appropriate follow-up actions.
· Collaborate with Housing Team stakeholders to evaluate and improve vendor relationships, maintenance workflows, and operational processes.
· Coordinate annual property and unit inspections and prepare documentation for agency and organizational audits.
· Support Portfolio Managers in responding to physical property inspections and stakeholder or agency audits.
· Assist in the development, implementation, and management of preventive maintenance programs.
· Review maintenance invoices for accuracy and ensure timely processing of payments.
· Maintain organized records, files, databases, and documentation in accordance with organizational
· Order, track, and maintain inventories of maintenance supplies and materials at designated locations.
· Create and manage Yardi, Excel, and other operational reports used to analyze key performance indicators and identify improvement opportunities.
· Maintain vendor relationships and service contracts to achieve cost efficiency, service quality, and operational effectiveness, including management of scorecards and IDIQ/LI pricing information.
· Assist with Facilities Assessment Report (FAR) data entry, updates, and record maintenance.
· Provide operational and administrative support to Maintenance Technicians as needed to ensure efficient delivery of service.
· Perform other duties as assigned.
· Comply with laws, regulations, policies, and procedures under which the program and company operates.
· Comply with and manage relevant Contracts, Memorandum of Understanding (MOU), and Grants.
· Respect and honor client rights and responsibilities and demonstrate professional boundaries and ethics.
· Maintain accurate and up-to-date documentation that ensures compliance with all agency policies and procedures and local, state, and federal regulations, and billing requirements.
· Adhere to mandatory abuse reporting laws and HIPAA requirements.
· Understand safety regulations and evacuation procedures; participate in regular safety drills in compliance with
program policies and procedures.
· Complete assigned employee training in compliance with program and company requirements.
· Provide guidance, support, and training to staff in alignment with company mission and values.
· Participate in all scheduled staff meetings, supervision sessions, and other departmental and company meetings.
· In collaboration with program leadership, determine staffing requirements, recruit, hire, and train staff in a manner that supports Cascadia’s mission and maintains strategic growth.
· Ensure completion of personal and team documentation as required by assigned programs.
· Establish work plans and priorities for staff members, assess the progress of staff members.
· Ensure completion of tasks by organizational policies and procedures.
· Provide consistent supervision and support for direct reports.
· Promote and ensure completion of annual training requirements.
· Demonstrate commitment to continuing professional development.

· Attend and participate in all meetings assigned, including but not limited to staff and team meetings, consultations with staff, individual and team supervision.
· Develop and maintain strong relationships with internal and external customers to promote quality and efficiency in Cascadia operations.
Required:
High School diploma or equivalent.
Preferred:
Associate’s degree in relevant field
Facilities Management Professional (FMP) or a Certified Facility Manager (CFM) certification or comparable certification
Required:
Minimum of three years involvement in maintenance activities.
Advanced proficiency in Microsoft Office applications, particularly Excel.
Working knowledge of HVAC systems and equipment.
Working knowledge of electrical and plumbing systems.
Proficiency in operating computer hardware and software required to perform job functions effectively.
Ability to accurately enter, retrieve, and manage data.
Ability to prepare, analyze, and interpret reports and operational data.
Possess a valid driver’s license, one-year driving history, clean driving record, ability to pass Driver Motor Vehicle (DMV) check and complete the Cascadia online Defensive Driving course.
Must have the ability to perform CPR and properly use AED equipment. BLS certification training will be provided within the first 60 days of hire for client-facing staff, and CPR certification training will be provided within 120 days for all other staff. Certification must remain current.

Work is performed in one or more of the following: administrative and clinical offices, acute care settings and community setting including client residences, correctional facilities, shelters, hospitals, public places and other social service sites. Meal periods and breaks are subject to interruption. Universal Precautions and remaining alert to the environment are critical to address the potential for aggressive behavior, exposure to disease, biohazards, noise, and contaminants.
The work assigned is diverse and involves addressing new and unusual circumstances. The work regularly involves a degree of unpredictability and disruption of planned tasks requiring a flexible time management approach. In addition, this position requires exercising sound judgment.
