As the Subcontract Specialist, you will be responsible for the administration, compliance, and commercial management of subcontract agreements throughout the project lifecycle. This position works closely with Procurement, Project Management, Operations, Legal, Safety, Estimating, and Accounting to ensure subcontracts are properly executed, compliant with company requirements, and administered in accordance with contractual obligations.

The Subcontract Specialist serves as the primary coordinator for subcontract issuance, change management, insurance compliance, document control, and subcontractor performance documentation while maintaining strict adherence to company policies, Delegation of Authority (DOA), and project-specific requirements.

DAY IN THE LIFE

As a Subcontract Administrator, you'll play a critical role in supporting projects from award through closeout by managing the commercial and contractual aspects of subcontract relationships. Your day will involve preparing and administering subcontracts, purchase orders, and change orders while coordinating reviews and approvals to ensure compliance with company policies and Delegation of Authority requirements. You'll work closely with project teams to track subcontract obligations, monitor compliance requirements, resolve commercial issues, and maintain accurate contract documentation throughout the project lifecycle. In partnership with Accounting and Project Controls, you'll review invoices, support cost tracking, and help ensure subcontract commitments align with project budgets. You'll also oversee key compliance activities, including insurance, safety, certified payroll, and lien waiver requirements, while identifying and escalating potential risks. As projects near completion, you'll coordinate subcontract closeout activities, ensuring all contractual deliverables, warranties, releases, and final documentation are received before final payment is processed.

QUALIFICATIONS

  • Bachelor's degree in Business, Construction Management, Supply Chain, Contract Administration, or related field preferred.
  • Minimum 3-5 years of construction, industrial, EPC, procurement, contracts, or subcontract administration experience required
  • Experience administering subcontract agreements for industrial, power, refinery, petrochemical, manufacturing, or heavy construction projects required
  • Experience supporting self-performing industrial contractors preferred
  • Experience with electronic document management and workflow approval systems preferred
  • Strong understanding of contract terms and conditions, insurance requirements, and construction contracting practices.
  • Proficiency with ERP systems such as Viewpoint, SAP, Oracle, JD Edwards, or similar platforms.
  • Strong Microsoft Office skills, particularly Excel and Word.
  • Working knowledge of AIA, ConsensusDocs, and custom industrial subcontract agreements.
  • Knowledge of lien laws, change management, claims administration, and subcontractor compliance requirement
