Overview

WildBrain Studios is looking for a Studio Operations Manager to join our team!

The Studio Operations Manager provides administrative, operational, and project coordination support to the SVP, Global Head of Production. This role combines some traditional executive assistant responsibilities with production coordination, stakeholder communication, and operational support to help ensure priorities, projects, and day-to-day activities remain organized and on track.

The successful candidate is highly organized, proactive, and resourceful, with strong attention to detail and a natural ability to anticipate needs and solve problems. They are comfortable managing multiple priorities, coordinating across teams, and creating structure in a fast-paced production environment.

Animation or entertainment production experience is a must, as the role requires an understanding of production schedules, creative workflows, and the dynamics of supporting both executive leadership and production teams.

Responsibilities & Qualifications

What You’ll Do:
Executive Support

  • Manage a complex and dynamic executive calendar, balancing internal meetings, production reviews, client commitments, industry events, and international stakeholders.
  • Coordinate domestic and international travel, including flights, accommodations, transportation, itineraries, and supporting materials.
  • Prepare agendas, presentations, briefing notes, and supporting documentation for meetings and events.
  • Attend key meetings, capture detailed notes, summarize discussions, and track action items through completion.
  • Monitor outstanding priorities and deliverables, helping ensure commitments remain visible and follow-up occurs in a timely manner.
  • Process and reconcile expense reports, invoices, and other administrative documentation.
  • Screen and prioritize incoming requests and correspondence.
  • Maintain confidentiality and exercise sound judgment when handling sensitive information.

Production Operations & Project Coordination

  • Support the coordination and tracking of key production, studio, and departmental initiatives.
  • Own and manage the Studios reporting and commitments to ESG initiatives for Production.
  • Coordinate communication and follow-up across production, creative, finance, technology, and executive stakeholders.
  • Help organize production reviews, leadership meetings, planning sessions, offsites, and special projects.
  • Establish and maintain systems that improve organization, visibility, and efficiency across projects.
  • Support the preparation of reports, presentations, and departmental updates as required.

Client & Partner Experience

  • Coordinate all logistics related to client visits, executive meetings, studio tours, and partner engagements.
  • Develop and manage detailed run-of-day schedules for visiting clients and guests.
  • Arrange meeting spaces, catering, transportation, restaurant reservations, and other hospitality requirements.
  • Serve as a primary point of contact for visit logistics before and during client engagements, providing a welcoming, professional experience.

What You’ll Bring:

  • 5+ years of experience supporting senior leaders in an Executive Assistant, Production Coordinator, Production Manager, Project Manager, or similar role.
  • Experience in animation, television, film, gaming, VFX, or other entertainment production environments is strongly preferred.
  • Exceptional organizational, time management, and multitasking skills.
  • Strong project coordination and follow-through capabilities.
  • Proven ability to manage multiple priorities in a fast-paced environment.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to accuracy.
  • Demonstrated ability to anticipate needs, solve problems proactively, and work independently.
  • High level of professionalism, discretion, and judgment.
  • Advanced proficiency in Microsoft Office, Outlook, Teams, PowerPoint, Excel, and collaboration tools.

Pay Range:

$75,000-$85,000 CAD per week based on a 40-hour work week.

Candidates are paid within the range posted, but their exact pay will vary based on the level, responsibilities and expectations of the role. We also take into consideration the experience and skills that individual brings, with consideration of our internal equity.
