Location: High Tech High Central Office in Point Loma with travel to school sites as needed

The Student Support Specialist serves as a critical member of the High Tech High Special Education Services team by ensuring the integrity, organization, and compliance of special education records and data systems across the organization. This position supports schools, educators, administrators, and families by managing student special education records, maintaining accurate documentation in SEIS, coordinating records requests, and ensuring compliance with federal, state, and organizational requirements.

Working collaboratively with school teams and the Special Education Services Department, the Student Support Specialist helps create efficient systems that allow educators to focus on providing high-quality, inclusive educational experiences for all students.

Primary Responsibilities

Special Education Records Management

  • Maintain complete, accurate, and confidential special education student records.

  • Ensure all special education files meet federal, state, and High Tech High compliance standards.

  • Conduct regular audits of student records to identify and resolve missing or incomplete documentation.

  • Organize, maintain, archive, and securely store both electronic and physical student records.

  • Monitor timelines for required special education documentation and support compliance efforts.

SEIS Management

  • Manage student records within the Special Education Information System (SEIS).

  • Upload, organize, and maintain IEPs, assessments, Prior Written Notices, eligibility documentation, and other required records.

  • Ensure accurate student demographics, program information, service data, and compliance documentation within SEIS.

  • Support staff with document routing, electronic signatures, and record completion.

  • Troubleshoot basic SEIS questions and provide technical support to school teams as needed.

Records Requests

  • Coordinate requests for special education records in accordance with FERPA, IDEA, California Education Code, and organizational procedures.

  • Process incoming and outgoing student records requests in a timely manner.

  • Collaborate with school sites, districts, SELPAs, families, and outside agencies to facilitate records transfers.

  • Maintain documentation of all records requests and transfers.

Compliance Support

  • Support organizational compliance with IDEA, California special education regulations, FERPA, and records retention requirements.

  • Assist with state monitoring, compliance reviews, and internal audits.

  • Monitor required documentation timelines and communicate proactively with school teams regarding missing or overdue records.

  • Maintain confidentiality and exercise sound judgment when handling sensitive student information.

Qualifications

Required

  • Associate's degree or equivalent experience.

  • Minimum of three years of administrative or records management experience.

  • Experience working with confidential student or educational records.

  • Strong organizational and project management skills.

  • Excellent written and verbal communication skills.

  • High level of accuracy and attention to detail.

  • Demonstrated ability to manage multiple priorities and meet deadlines.

  • Proficiency with Google Workspace and Microsoft Office.

Preferred

  • Experience working in K–12 education.

  • Experience with Special Education Information Systems (SEIS).

  • Knowledge of IDEA, FERPA, California Education Code, and special education compliance requirements.

  • Experience supporting charter schools or multiple school sites.
