Job Description

The Student Office Assistant plays a key role in supporting the daily administrative operations of the Office of the Provost. This position requires a high level of professionalism, reliability, and attention to detail. Responsibilities include managing documents and records, coordinating schedules, preparing written communications, and assisting with logistical and administrative tasks across the office. Successful candidates demonstrate strong communication skills, excellent organizational abilities, and the capacity to manage multiple priorities while upholding the professional standards of the Provost’s Office.

Typical duties include but not limited to:

  • Files paperwork, makes copies, and compiles documents.
  • Provides administrative support to include maintaining schedules/calendars, screening telephone communication, greeting and directing visitors, and dealing with administrative problems and inquiries.
  • Perform administrative and logistics tasks with the Office of the Provost.
  • Support faculty and staff within the Office of the Provost for delegated work in Workday.
  • Establishes and maintains systems for administrative records for the Department, including electronic files, records, and databases.
  • Composes and prepares written documents and correspondence for the office, including memos, letters, presentations, and spreadsheets.

Other duties:

  • Performs other job-related duties as assigned.

Required Qualifications:

  • Enrolled as a degree-seeking student at Florida Gulf Coast University at the time of hire and throughout the appointment.
  • Must have a minimum GPA of 3.0 and be in good conduct standing with the University.
  • Experience operating a personal computer and proficient with Microsoft Office (Word, Excel, PowerPoint, and Outlook).

Preferred Qualifications:

  • Experience with classroom technology and setup like projectors, webcams, and amplified sound.
  • Relevant administrative support experience.

Knowledge, Skills, & Abilities:

  • Knowledge of general office procedures.
  • Excellent interpersonal, verbal, and written communication skills.
  • Strong organizational skills and an ability to prioritize and complete simultaneous projects when numerous demands are involved.
  • Ability to operate personal computers with proficiency and learn new applications and systems.
  • Ability to accurately prepare and maintain records, files, and reports.
  • Ability to work successfully as both a member of a team and independently with minimal supervision.
