The Student Information Systems (SIS) Administrator is the institution’s dedicated technical and functional steward of its Student Information System — the authoritative platform of record for all student enrollment, academic records, financial aid, degree audit, and student account data. Reporting to the Director of Enterprise Applications, this role owns day-to-day SIS platform administration, configuration management, system maintenance, user access governance, and functional support for the Registrar, Financial Aid, Admissions, Academic Affairs, and Student Services offices that depend on SIS data to deliver institutional operations and regulatory compliance.

This is a platform-specialist role requiring both deep technical knowledge of the SIS environment and strong functional understanding of the academic and administrative business processes it supports. The SIS Administrator must understand how a registration configuration error affects a student’s ability to enroll, how a financial aid setup table drives Title IV packaging calculations, and how a degree audit rule change impacts graduation eligibility — because in this role, technical decisions and student outcomes are directly connected.

Key Responsibilities

SIS Platform Administration & Configuration

  • Administer and maintain the institutional SIS platform (Anthology Student), managing system configuration across all functional modules including Student Records, Registration, Financial Aid, Student Accounts, Admissions, Academic History, and Degree Audit in alignment with documented business requirements and institutional policy.
  • Manage academic calendar configuration including term setup, registration periods, financial aid disbursement windows, and grading deadlines, coordinating with Academics Services and Financial Aid offices to ensure all calendar configurations are accurate before each academic term opens.
  • Administer the SIS database environment in coordination with the infrastructure or cloud team, including monitoring, routine maintenance tasks, space management, index maintenance, and coordination of database patching activities that affect SIS availability.
  • Manage SIS environment structure including production, test, and development instances, ensuring non-production environments are refreshed on a defined schedule and available for functional testing and training purposes.

User Access & Security Administration

  • Manage SIS user account provisioning and deprovisioning, ensuring all access requests are processed within defined SLA windows with appropriate role assignments that reflect documented job responsibilities and the principle of least privilege.
  • Maintain and govern SIS security class and role definitions, ensuring role configurations accurately reflect the minimum data access required for each job function and are reviewed for appropriateness at least annually.
  • Conduct periodic SIS access reviews in coordination with functional area managers, identifying and remediating access that no longer aligns to current job responsibilities, including accounts for terminated employees, transferred staff, and role-changed users.

Regulatory Reporting & Compliance Support

  • Support all federal, state, and accreditation reporting cycles that draw data from the SIS, including IPEDS data collection submissions, NSLDS enrollment reporting, gainful employment data preparation, Title IV enrollment certification, and Virginia SCHEV enrollment reporting — validating SIS data completeness and accuracy before each submission deadline.
  • Maintain SIS configuration documentation related to Title IV program eligibility, satisfactory academic progress (SAP) rule configurations, financial aid packaging parameters, and enrollment status definitions that affect federal financial aid program compliance.
  • Assist the Director of Enterprise Applications and institutional compliance teams with internal and external audits of SIS data, configurations, and access controls, producing requested documentation, configuration reports, and data extracts with accuracy and within required timelines.
  • Monitor regulatory guidance from the U.S. Department of Education, SCHEV, and institutional accreditors for changes that affect SIS configuration requirements, flagging time-sensitive compliance configuration needs to the Director for prioritized response.
  • Maintain documentation of all SIS configurations related to institutional accreditation standards, ensuring the technical evidence of compliant system configuration is organized and accessible for accreditation site visit preparation.

Vendor Management, Upgrades & Technical Support

  • Manage the institutional SIS vendor relationship, serving as the primary technical contact for support cases, coordinating release and patch deployments, participating in vendor-sponsored user groups and advisory councils, and maintaining current knowledge of the vendor’s product roadmap and upcoming feature releases.
  • Lead SIS upgrade and patch deployment planning, coordinating upgrade impact assessments with functional area leaders, scheduling testing cycles, communicating changes to affected users, and managing deployment timelines that minimize disruption to academic operations.
  • Provide functional Tier 2 and Tier 3 SIS support for issues escalated from the IT Service Desk and functional offices, investigating configuration-level, access-related, data integrity, and integration issues with systematic diagnostic rigor and complete ticket documentation.
  • Develop and maintain SIS knowledge base documentation, configuration guides, and administrator runbooks that enable consistent platform management, support continuity across staff transitions, and provide operational reference for functional office partners.
  • Establish a reputation as the institution’s SIS subject matter expert — the first resource consulted by functional office leaders when new regulatory requirements, academic policy changes, or operational needs require SIS configuration evaluation
  • Ensure all SIS configuration documentation, access audit evidence, and regulatory reporting preparation records are organized, current, and accreditation-ready to support re-affirmation site visits and any federal program review without reactive documentation effort.

Required Qualifications

  • Bachelor’s degree in Information Technology, Information Systems, Higher Education Administration, Computer Science, or a closely related field required; equivalent experience considered.
  • Minimum of three (3) to five (5) years of hands-on SIS platform administration experience in a higher education institution.
  • Demonstrated functional expertise with at least one major higher education SIS platform, with Anthology Student strongly preferred.
  • Working knowledge of academic business processes including registration, financial aid packaging and disbursement, degree audit, student accounts, and academic records management as supported by SIS configurations.
  • Thorough understanding of FERPA requirements applicable to student record access, data disclosure, and SIS user access control in a higher education environment.
  • Demonstrated familiarity with Title IV regulatory requirements as they affect SIS configuration, including enrollment status definitions, satisfactory academic progress rules, and financial aid disbursement parameters.
  • Experience managing SIS user access, security roles, and access review processes in a FERPA-regulated environment.

Preferred Qualifications

  • Experience in a private, for-profit institution; Title IV audit experience a significant advantage.
  • Experience with Anthology Student preferred..
  • FERPA compliance training certification or equivalent formal FERPA education credential.
