The Student Financial Services & Records Assistant supports the Office of Graduate Fellowships and Program Support by processing graduate student travel grant applications in InfoReady and coordinating logistics for the Doctoral Fellowship Reception and other unit events and meetings. This role also maintains graduate and international student records and supports registration-related processes in Workday Student. The position processes and tracks records and registration actions, maintains documentation and tracking logs, serves as the first point of contact for walk-in students and visitors, and communicates with students and campus partners to respond to routine inquiries, resolve issues, and escalate complex matters as needed to support timely completion of requests. The role maintains the confidentiality of student information, supports data integrity through routine review and follow-up, and contributes to continuous improvement by documenting procedures and assisting with testing and validation when system updates affect records, registration, or related workflows.
Regular, reliable, and non-disruptive attendance is an essential job duty, as is the ability to create and maintain collegial, harmonious working relationships with others.
Minimum Qualifications:
The formal education equivalent of a high school diploma
At least two years of experience in a specialized or related area applicable to the work performed
Preferred Qualifications:
Bachelor’s degree from an accredited institution of higher education
Knowledge, Skills & Abilities:
Knowledge and proficiency with Microsoft Office (Outlook, Word, Excel, Access, and PowerPoint)
Knowledge of student records and registration processes in a higher education environment, including the importance of accurate recordkeeping and documentation
Knowledge of and commitment to confidentiality standards for student information (e.g., FERPA principles) and the appropriate handling of sensitive records
Knowledge of and experience with special event planning, including RSVP tracking, guest list management, and logistics coordination
Skilled experience using Workday Student (preferred) or a comparable student information system to process, track, and document student record and registration actions
Ability to review requests for completeness, verify documentation, follow established policies and procedures, and appropriately escalate complex records issues
Ability to maintain accurate records, supporting documentation, and tracking logs; strong attention to detail and data quality
Ability to research, interpret, and apply university policies and procedures related to records, registration, and eligibility determinations
Ability to communicate professionally with students, faculty, and campus partners in writing and verbally, including providing clear and timely status updates and next steps
Ability to prioritize time-sensitive work, meet deadlines, and manage multiple concurrent requests during peak cycles
Ability to document procedures, contribute to process improvement, and assist with basic testing and validation when system updates occur
Experience using InfoReady (or a similar workflow tool) and ability to maintain standardized communications and tracking for application processing
