The Student Engagement Systems Manager serves with the Office of Transformative Learning and leads the coordination, implementation, and continuous improvement of digital systems, communication workflows, and engagement infrastructure that support student participation in Transformative Learning opportunities. The position is responsible for helping students move from initial interest to active participation in high-impact experiences, including undergraduate research, mentoring, leadership development, experiential learning, credential pathways, and honors engagement.

This role combines CRM management, communications strategy, data analytics, workflow design, and digital engagement practices to create a connected and student-centered experience across Transformative Learning units. The position supports recruitment, engagement, retention, and progression by ensuring students receive timely, personalized, and actionable communication and support throughout their engagement journey.

The position also plays a key role in institutional learning and continuous improvement efforts by developing systems and analytics that help unit leaders evaluate program effectiveness, identify barriers to participation, improve student experience, and inform strategic decision-making. Through analysis of engagement patterns, participation trends, and student outcomes, the Student Engagement Systems Manager helps Transformative Learning units strengthen programs, improve communication strategies, and expand student success pathways.

The position is a full-time, remote (online) position. Occasional travel to the East Texas A&M University main campus and/or the Dallas site will be required. The university will not reimburse mileage or travel time for these required meetings.

DUTIES & RESPONSIBILITIES:

Student Engagement & Communication Systems

  • Manage communication and engagement workflows that support student participation in Transformative Learning opportunities
  • Develop systems that move students efficiently from inquiry and interest to active engagement
  • Design targeted and supportive communication campaigns for prospective and current students
  • Coordinate outreach and follow-up processes to ensure students remain connected and supported throughout engagement pathways
  • Assist with development of communication strategies that increase participation, persistence, and student satisfaction

CRM & Digital Platform Management

  • Coordinate implementation and ongoing management of digital systems including Smartsheet, Suitable, CRM systems, and related engagement platforms
  • Support integration of student engagement systems with institutional technologies and enrollment processes
  • Build workflows, forms, dashboards, and tracking systems to support student engagement and operational efficiency
  • Assist in development of scalable systems that support future institutional growth and integration

Data Analytics, Reporting & Program Improvement

  • Create and maintain dashboards and reports to monitor student engagement, participation, progression, retention, and credential attainment
  • Segment and analyze student data to support targeted communication and outreach strategies
  • Track engagement pipelines and identify opportunities for intervention, re-engagement, and increased student success
  • Support assessment and reporting needs for QEP and Transformative Learning initiatives
  • Partner with unit leaders to use engagement and participation data to evaluate program effectiveness and inform continuous improvement efforts
  • Identify trends, gaps, and emerging opportunities to strengthen student experience, access, and participation across Transformative Learning programs
  • Assist in translating data insights into actionable recommendations for communication strategies, workflow improvements, and program design

Credentialing & Student Pathways

  • Support implementation and tracking of digital credentials, badges, distinctions, and recognition pathways
  • Assist with documentation and communication of student participation and achievement across Transformative Learning experiences
  • Coordinate systems that help students understand and navigate available opportunities and pathways

Website & Digital Experience Coordination

  • Coordinate updates and improvements to student-facing web content related to Transformative Learning opportunities
  • Collaborate with Marketing & Communications and institutional partners to ensure messaging alignment and consistent user experience
  • Ensure digital content remains accurate, accessible, actionable, and student-centered

Collaboration & Cross-Functional Support

  • Serve as a liaison across Transformative Learning units and institutional partners
  • Collaborate with Enrollment Management, Student Success, Marketing & Communications, Institutional Effectiveness, and IT

Contribute to integrated student engagement strategies across the student lifecycle

MINIMUM REQUIREMENTS:

  • Education: Bachelor’s degree in communications, marketing, higher education administration, information systems, business, or related field
  • Experience / Knowledge / Skills:
    • Five years of related experience
    • Strong organizational and project management skills
    • Skilled in audience segmentation, workflow coordination, and engagement tracking
    • Strong written communication skills with the ability to create supportive and persuasive messaging
  • Ability to:
    • Ability to combine data analysis with effective communication strategy
    • Ability to design systems that improve user experience and engagement
    • Ability to work collaboratively across departments and functions

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

  • Experience managing CRM systems, engagement platforms, databases, or workflow systems
  • Experience with data reporting, communication strategy, or customer/student engagement systems
  • Experience in higher education, enrollment management, student success, or digital engagement
  • Familiarity with CRM systems, email marketing platforms, dashboards, and student engagement analytics
  • Experience with digital credentialing or experiential learning platforms
  • Strong writing and audience-specific communication skills
