This position, under the direction of the Dean of Students, serves as the Administrative Hearing Officer for disciplinary cases involving alleged violations of the Student Code of Conduct and the Prevention Specialist for community outreach. The Assistant Director, under general direction, offers case management and resolution services to students through interventions, referrals, and connection to follow-up services to address the needs of students. The Assistant Director is tasked with developing and executing outreach initiatives that support on-going education of position related policies, procedures, and reporting protocols. The Assistant Director serves as backup to the Dean of Students, as needed. This position is identified as a Campus Security Authority (CSA) and is required to report non-personally identifying information to the University Police Department related to any and all incidents that fall within the Jeanne Clery Act.

DUTIES & RESPONSIBILITIES:

HEARING OFFICER & ADMINISTRATIVE DUTIES (40%):

  • Assist in the receipt of complaints and investigation of allegations of violations of the Code of Student Conduct. Serve as a hearing officer for administrative cases of student and group/organization misconduct; utilize restorative justice to mediate assigned cases involving student conflict.
  • Adjudicates alleged violations of the conduct code in accordance with ETAMU policies and procedures.
  • Determine responsibility for allegations of misconduct; issue university-level sanctions as appropriate.
  • Independently manages assigned cases from inception through completion ensuring compliance with timelines, due process, and policies.
  • Investigates alleged violations as appropriate. Write follow-up letters, finalize cases, and complete records in Maxient.
  • Monitor completion of sanctions issued through the disciplinary process.
  • May serve as the Student Rights & Responsibilities administrator for University Hearing/Appeal Boards as needed.
  • Assumes administrative responsibility for the department when tasked.
  • Drafts, reviews, and sends relevant correspondence for assigned cases.
  • Maintains accurate and up-to-date records of cases and proceedings in Maxient (Student Conduct Database). Assists with the overall management and operations of the Office for Student Rights and Responsibilities.
  • Prepares or assists in the preparation of reports, assessments, and other necessary tasks.
  • Responds to inquiries from outside constituents regarding student cases as prescribed by departmental, University, and other relevant policies and laws.
  • Responds to inquiries for student conduct status for students attempting to participate or join campus-approved clubs/organizations, and employment on-campus.

PREVENTION & OUTREACH (35%):

  • Develop and lead prevention initiatives to the university community regarding office policy, procedures, and university protocols.
  • Assist in special projects including but not limited to Alcohol and other Drugs, Hazing Prevention, and Welcome Week events. Assist with departmental marketing, publications, and website, to support the departments brand.

TRAINING & EVALUATION (15%):

  • Assist with the designing, planning, implementing, and evaluating of training for all University Hearing/Appeal Board members.
  • Assist in developing and coordinating training for paraprofessional staff and student staff, as needed.
  • Assist with evaluating program standards, objectives, and conducting program assessments, as well as, training for new investigators and semester training for continuing investigators.
  • with regularly evaluating the investigation process including updating forms, guidelines, and other investigation documents.

UNIVERSITY/DIVISION/DEPARTMENT DUTIES (5%):

  • Serves as a representative on Department, Division, and University committees and task forces, at events, and to department stakeholders as assigned. Attends, presents, and actively engages in Department and Division meetings, trainings, and functions.
  • Interprets and participates in the development of University/department rules and procedures, while also assisting in the establishment of short and long term goals and strategic planning for investigations

OTHER DUTIES (5%):

  • Performs other related duties as assigned incidental to the nature of the position or appropriate to the mission of the Office of Student Rights & Responsibilities, the Division of Enrollment Management and Student Affairs, and the University.

Assistant Director

MINIMUM REQUIREMENTS:

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience
  • 3 years of related experience in coordinating and administering disciplinary hearings for student code of conduct violations in a college or university setting, developing educational programs, facilitating student and staff trainings, advising student organizations, and developing student leadership programs.

Knowledge / Skills / Abilities:

  • Ability to multitask and work cooperatively with others. Strong verbal and written communication skills. Ability to work with sensitive information and maintain confidentiality. Strong interpersonal and organizational skills.

PREFERRED EDUCATION / SKILLS/ EXPERIENCE:

  • Familiarity with the Maxient conduct platform.
  • Master’s degree in Counseling, Social Work, or Psychology; Student Administration, Higher Education Administration, or Educational Leadership; or related field.
