Position Summary Information
Job Description Summary
Provide administrative and research compliance support for the Office of Research by assisting with the review, tracking, and processing of Institutional Review Board (IRB) and Institutional Animal Care and Use Committee (IACUC) submissions. Support protocol management activities, maintain records and communications, assist with compliance reporting, coordinate meeting logistics, and help ensure researchers complete required training. Work collaboratively with IRB and IACUC administrators, faculty, staff, and committee members to support the efficient administration of research compliance processes and related projects.
Responsibilities
- Submission intake analysis to determine completeness and consistency; (in consultation with the IACUC/IRB administrators as appropriate, validate the protocol’s review classification (e.g., exempt, expedited, full board, etc.) based upon knowledge developed in the role and over time; Tracking and documenting submission/protocol statuses and correspondences; Disseminating submission/protocol documents to the IRB and IACUC Committees; Responding to faculty and staff to provide status updates; Ability to learn and work with Cayuse and Kuali software.
- Ability to enforce IRB and IACUC requirements; Consults with the IRB and IACUC administrators when needed; Refers researchers to the IRB and IACUC administrators when needed
- Managing the IRB and IACUC Outlook mail inboxes/calendars; Maintaining confidentiality
- Ability to learn and create reports using technology (e.g., Cayuse, Kuali and Excel); Providing periodic and ad hoc IRB reports; Providing IACUC reports, as needed
- Ensures all research team members complete required training(s); Provides research teams with education and resources related to IRB and IACUC training requirements and processes
- Assists with IRB and IACUC meeting preparations; Tracks meeting RSVPs of IRB and IACUC members.
- Attends IRB and IACUC meetings; Takes notes and drafts minutes
- Completes CITI courses related to research compliance
- Assists with special projects, as assigned
Required Qualifications
- Prior administrative experience
- Attention to detail
- Customer service mindset
- Proven ability to quickly learn new methods, workflows and computer programs/software
- Effective communication skills (both oral and written)
- Intermediate skills with Microsoft Office Suite
- Able to report to work on the Rinker campus on a continuing basis.
- Strong ability to work in a team setting, work independently, be flexible, take initiative, assure a high level of accuracy, and a high level of service
Desired Qualifications
- Available on usual dates of committee meetings at both Chapman campuses (usually on the Rinker campus)
- Research program experience (e.g., working in a lab, conducting studies)
- Experience with data entry, documentation, and tracking processes
- Experience creating forms using Adobe Acrobat
- Preference is given to candidates who have completed at least one year of college-level coursework.
