Job Title: Strategic Operations Coordinator

Reports To: Associate Director of Strategic Operations

Status: Full-time; Exempt

Location: Hybrid - Los Angeles (Little Tokyo Office)

Hours of Operation: Monday – Friday; 9:00am – 6:00pm; occasional evenings or weekends as needed

Hourly Range $25.00 - $32.00 per hour/annually (based on experience and qualifications)

What We Do:

Woodcraft Rangers provides TK-12 expanded learning programs, including before and after school, specialty enrichment, and summer learning. In the past few years, Woodcraft has expanded its menu of services beyond traditional afterschool programs and summer camps to include early learning, environmental and social justice, college access, and inclusion services for youth with intellectual and developmental disabilities. Additionally, we offer LifeCraft, a college and career advancement program to support the development of approximately 2,250 staff. Today, Woodcraft Rangers serves more than 30,000 youth ages 4 to 18 each year across 150 plus Title I schools in Los Angeles, San Bernardino, and Riverside counties, and continues to expand its reach.

As the Strategic Operations Coordinator, you will be an important point of continuity for how information moves and how processes are maintained across the team. Your work will center on keeping our operational workflows accurate, organized, and running smoothly — from maintaining data records and supporting content management to helping coordinate tasks and documentation across departments. You will work independently to manage your responsibilities and stay on top of a varied workload, bringing care and consistency to everything you own. As the team grows and processes evolve, you will help ensure that changes are documented and followed correctly, serving as a reliable resource for the people and teams around you.

Responsibilities:

  • Data management: Support the accuracy and integrity of information across our systems by managing data entry, imports, exports, and routine record upkeep.

  • Content and resource coordination: Maintain team libraries and resource databases, including platforms like Absorb, assisting departments in keeping content organized and up to date.

  • Process documentation and adherence: Support the documentation and consistent application of operational processes, helping to ensure that procedures are followed accurately and updated as needed.

  • Operational support: Assist with routine operational tasks including scheduled uploads, report distribution, and coordination of recurring workflows to support the team's day-to-day continuity.

  • Task tracking and follow-up: Keep track of incoming requests and open action items, following up to ensure tasks are moving forward and completed on time.

  • Independent organization: Manage your own workload and calendar with a high degree of self-sufficiency, staying on top of responsibilities and deadlines without frequent check-ins.

  • Systems coordination: Serve as a point of contact for day-to-day operational issues, flagging system irregularities and coordinating with the appropriate teams to ensure timely resolution.

  • Cross-team coordination: Work with colleagues across departments to support information sharing, coordinate inputs, and help ensure that operational needs are communicated and addressed.

  • Continuous improvement: Identify gaps or inconsistencies in existing workflows and raise them as opportunities for improvement, contributing to a culture of operational excellence.

Qualifications/Skills:

  • Associate's degree or equivalent work experience in business administration, operations management, or a related field.

  • Experience working collaboratively in a team environment, supporting colleagues and contributing to shared goals.

  • Comfort working across multiple software platforms and digital tools; ability to learn new systems quickly and apply them accurately in daily work.

  • Experience in a role requiring close attention to detail, adherence to established procedures, and accurate record-keeping or documentation.

  • Experience managing a varied workload with competing priorities, tracking tasks through to completion, and communicating status clearly to others.

  • Strong attention to detail with a consistent ability to maintain accuracy across data entry, record-keeping, and documentation tasks.

  • Comfort working across multiple software platforms with the ability to learn new tools quickly and apply them reliably in day-to-day work.

  • Exceptional organizational skills with the ability to manage a varied workload, track multiple open tasks, and meet deadlines consistently.

  • Sound judgment in identifying when a process or situation needs attention, and the initiative to raise it or follow up appropriately.

  • Clear and professional communication skills, with the ability to coordinate effectively across teams and keep the right people informed.

  • Ability to work independently and stay self-directed, managing responsibilities reliably without requiring frequent oversight.

  • Adaptability in a dynamic environment, able to shift focus as priorities change while maintaining quality and follow-through.

  • Consistent professionalism and composure across all interactions and situations.

  • Demonstrated experience working with ethnically and culturally diverse communities, with an understanding of and genuine commitment to the communities Woodcraft Rangers serves, including the educational and youth development landscape in Los Angeles.

  • Prior experience in the education sector or Expanded Learning field is a plus.

  • Bilingual proficiency in English and Spanish is a plus.

  • Valid LIVE Scan, TB Clearance, and CPR Certification (provided by Woodcraft Rangers).
