Purpose of job:

We are seeking a highly skilled & experienced store in charge responsible for managing Stores, Inventory Control, and Dispatch operations ensuring material availability, accurate stock, and on-time customer deliveries. Knowledge of ERP (SAP/Oracle/Tally), GST, e-way bills, and inventory control.

This role reports to Service Centre Manager and would be responsible for:
• Receive, inspect, and post GRN for all incoming materials
• Maintain inventory accuracy (>98%) with proper binning, FIFO/FEFO, and cycle counts
• Issue materials to production as per BOM and maintain traceability.
• Prepare invoices, e-way bills, packing lists, and coordinate dispatches.
• Ensure proper packing, loading, lashing, and dispatch documentation.

The role would encompass:

Inbound & Stores Operations

  • Manage receiving, unloading, and inspection of incoming materials.
  • Ensure timely GRN (Goods Receipt Note) posting with PO–GRN–Invoice matching.
  • Coordinate with QA for inspection, NCR, quarantine, and approvals.
  • Implement FIFO/FEFO, material segregation, labeling, and proper binning.
  • Maintain well-organized storage areas, racking systems, and 5S compliance.

Inventory Control & Planning

  • Maintain >98% inventory accuracy between physical stock and ERP.
  • Manage cycle counting, annual stock audits, variance analysis & corrective actions.
  • Maintain Min–Max levels, ROP, safety stocks, and support MRP planning.
  • Track slow-moving/non-moving (SLOB) items and initiate disposal/rework recommendations.
  • Maintain traceability: batch/lot/serial number records and shelf-life tracking.

Material Issue & Production Support

  • Issue materials to production as per BOM, reservations, and pick lists.
  • Manage returnable/non-returnable materials, RTV to vendors, and replacement processes.
  • Support KANBAN, VMI, and lean inventory systems where applicable.

Dispatch & Outbound Logistics

  • Plan dispatches based on sales orders, customer schedules, and production readiness.
  • Prepare packing lists, invoices, delivery challans, e-way bills, and e-invoices.
  • Ensure correct HSN, GST, weights, dimensions, and consignee details.
  • Coordinate with QA for final inspection, IB Update ,COC issuance, and final approval.
  • Oversee packing as per customer standards / ISPM-15 / internal specifications.
  • Manage vehicle loading, lashing, sealing, and gate-out compliance.
  • Coordinate with Indirect Purchase , Book transport (FTL/LTL), coordinate with transporters, and share dispatch intimation.
  • Track shipments until delivery and ensure timely POD collection.

Compliance & Documentation

  • Ensure statutory compliance

  • GST documentation E-way bills & IRN generation
  • Delivery challans
  • Export shipping documents (if applicable)
  • Maintain audit records for ISO/IATF/Customer audits.
  • Maintain item master data: UoM, HSN, lead time, MOQ, vendor codes, etc.

Cost, Efficiency & Continuous Improvement

  • Update / Dispatch Instructions sheet / Feedback tag/ barcode/RFID systems and digital tools for stores & dispatch.
  • Drive 5S, lean improvements, and process standardization.

Qualifications & Experience

Education Diploma/Degree in Mechanical/Industrial Engineering or Commerce; PGDM in SCM preferred.

Experience 5–10 years in Stores, Inventory, and Dispatch roles in a manufacturing environment.

ERP/System Skills SAP MM/WM/SD, Oracle, MS Dynamics, Tally, barcode/RFID systems, MS Excel (advanced functions).

Certifications (added advantage): APICS CPIM/CSCP, Six Sigma Green Belt, ISO Internal Auditor.

Skills & Competencies

  • Strong knowledge of inventory management, stock control, and material planning.
  • Working knowledge of GST, HSN classification, e-way bill, and dispatch compliance.
  • Ability to handle packaging requirements and heavy/fragile materials.
  • Good communication, vendor coordination, and customer-handling skills.
  • Leadership capability and problem-solving (5 Why, RCA, fishbone).
  • Familiar with 5S, lean manufacturing, and safety practices.
