Duties & Responsibilities

Procurement & Supplier Relations

  • Sourcing & Quotations: Request, compile, and analyze competitive quotations from approved suppliers for tyres, components, and workshop consumables.
  • Comparative Analysis: Evaluate supplier quotes based on pricing, delivery lead times, product quality, and warranty terms to ensure maximum cost-efficiency.
  • Supplier Liaison: Serve as the primary point of contact for external vendors, resolving invoicing discrepancies, tracking backorders, and evaluating vendor performance.
  • Purchase Orders: Generate and process accurate purchase orders (POs) within company guidelines and track them through to delivery.

Tyre Controlling & Approvals

  • Tyre Change Approvals: Assess technical inspection reports from fitters or drivers to approve or reject tyre replacement/repair requests based on tread wear data, casing conditions, and company safety policies.
  • Scrap Analysis: Inspect scrapped tyres to identify patterns of irregular wear, inflation issues, or mechanical defects, and report findings to management.
  • Brand Performance Tracking: Monitor the performance and longevity of different tyre brands and retreads to optimize long-term procurement strategies.

Inventory & System Administration

  • Stock Control: Maintain real-time inventory accuracy for new, used, and retreated tyres, as well as mechanical parts.
  • Stock Systems Management: Perform daily data entry in the inventory management system, including stock receipts, issues, adjustments, and cycle counts.
  • Asset Register Management: Accurately update the company’s asset register, ensuring every tyre is tracked by its unique identification/serial number from installation to scrap.
  • Reorder Management: Establish and maintain minimum/maximum stock thresholds to prevent stockouts of critical parts while minimizing excess inventory.

Operations & Workshop Coordination

  • Job Allocation: Plan, prioritize, and assign daily work orders to tyre fitters and workshop technicians based on fleet urgency.
  • Workflow Monitoring: Ensure fitters execute tyre changes, rotations, alignments, and pressure checks safely, efficiently, and to industry standards. Documentation: Review and file completed job cards, ensuring all parts used and hours worked are accurately billed or recorded against specific fleet assets

Desired Experience & Qualification

Min Requirements

  • Matric. Tertiary qualification in Logistics, Supply Chain Management or Fleet Administration advantageous;
  • 2 - 4 Years experience in tyre stock control, fleet maintenance administration and/or stock/parts procurement
  • Valid driver’s license (Code 8) and own transport
  • Strong technical familiarity with commercial/fleet tyres (tread patterns, sizes, retreading processes, and wear diagnostics).
  • Proficiency working within dedicated stock management, Citrix), or fleet management systems.
  • Strong intermediate skills in Microsoft Excel (data tracking, basic formulas, and filtering) for building comparative quote sheets.
