SUMMARY

As a Staffing Coordinator, your exceptional management and organizational skills are crucial in optimizing resource sharing and staff distribution throughout all departments.

Job Title: Staffing Coordinator

DEPARTMENT: Administrative Support

LOCATION: Unity Living Center 89 Genesee St. Rochester, NY 14612

SCHEDULE: Per Diem 8:00am-5:00pm-Days Vary as needed

ATTRIBUTES

  • Staffing/scheduling experience preferred

RESPONSIBILITIES

  • Scheduling. Responsible for smooth and efficient operation of the staffing office; act as database administrator for the scheduling system; maintain daily posting of nursing staff hours and census; input staff requests, vacations and profile into staffing computer program; schedule staff according to hired rotation per individual department policy; create and post schedule monthly
  • System Management. Manage Kronos system; input data from variance log(s) and enter schedules; review overtime and non-productive time with manager prior to submission on payroll
  • Reporting. Distribute pay period FTE report, variance report and any other reporting that is necessary to director/manager
  • Leadership. Act as the key contact for staff regarding Kronos issues, schedule requests and agency staffing; understand contract terms to include cancellation policy and hourly rate; know specific requirement for each department for agency use; liaise between clinical coordinator and agency for required forms; cancel agency as volume fluctuates

PHYSICAL REQUIREMENTS:

Sedentary - Sedentary roles are primarily office-based and require prolonged sitting (67–100% of the workday) with minimal physical effort and lifting limited to under 10 lbs. Fine motor skills are necessary for computer work, writing, and telephone use, supported by clear visual and auditory ability. Cognitive and emotional demands are high due to extended concentration, frequent interruptions, independent decision-making, and information processing. Although physical exposure is low, administrative areas within healthcare environments may occasionally involve contact with infectious agents. Some roles may require flexible hours, TB screening, or a valid driver’s license.

The listed base pay range is a good faith representation of current potential base pay for a successful full time applicant. It may be modified in the future and eligible for additional pay components. Pay is determined by factors including experience, relevant qualifications, specialty, internal equity, location, and contracts.
