
Position Details
The Office of Graduate and Continuing Studies (OGCS) at The University of Tampa has a position for a Staff Assistant II to assist with all administrative support duties. This includes staff support for the Adult and Summer Academic Program and UTampa Online. This position will report to the Director of Operations for Graduate and Continuing Studies and the Director of Adult and Summer Academic Programs and Distance Learning.
Responsibilities
• Provide support to all units within OGCS.
• Provide support for the Graduate Assistant (GA) program to include managing student communications, coordinating processes and operations, facilitating GA placements, managing GA supervisory evaluations, and keeping records/data for the program.
• Primary point of contact for GA issues including but not limited to academic questions, placement and reassignments.
• Work with Bursar’s Office and Financial Aid to process new and returning GA stipends and tuition waivers.
• Create and maintain Workday cohorts and job requisitions for the GA process.
• Organize special events such as graduate open house/orientation. Prepare weekly enrollment reports.
• Work with campus partners on website updates and annual catalog updates/additions/edits.
• Primary contact for any inquiries regarding graduate hooding ceremonies to include representing OGCS at the Commencement Committee meetings. Coordinate with outside vendors and graduate program faculty for execution of the Exercise and Nutrition Science and College of Business hoodings in May and December.
• Run Workday reports for Winter/May term Intersessions and Summer Programs for Adult and Summer Academic Programs (ASAP) to include creating summary reports on a regular/as needed basis for all ASAP programs.
• Initiate and manage faculty payment process for ASAP to include communication regarding ASAP payment process and responding to questions.
• Facilitate and support any other tasks and activities involving ASAP processes and maintain communication with directors of ASAP and OGCS.
• Manage/track/update course development utilizing Excel for UTampa Online (UTO). Create course development reports using the data collected.
• Facilitate UTO cohort meeting and annual luncheon with other departments at the University.
• Other duties as assigned.

Qualifications
1. High School Diploma required; Bachelor’s Degree preferred.
2. Minimum two (2) years’ experience in a higher educational setting preferred.
3. Two (2) years skilled administrative and/or office management.
4. Proficiency with MS Office: Excel, Word, PowerPoint, and any database management tool.
5. Knowledge of or the ability to quickly learn The University of Tampa software programs such as Workday and other relevant applications.
6. Willingness to embrace new technologies and innovative organizational practices.
7. Excellent written, oral, interpersonal, and communication skills and the ability to establish priorities and manage time wisely.
8. Demonstrated excellence in customer service.
9. Ability to handle multiple tasks in a fast-paced environment.

Work Schedule
Monday-Friday, 8:30 a.m. to 5:00 p.m.
Summer: Monday-Thursday, 8:00 a.m. to 5:30 p.m.
Occasional evenings and weekends may be required.
