Staff Assistant

Location: Lee County. Applicants interested in working in counties/cities other than Lee County will need to apply for positions advertised for those specific areas on the People First System.

This position provides support to the Program Operations Administrator and will be located in Ft. Myers in the Economic Self-Sufficiency program. Teleworking is not an option. Facility is a tobacco free environment. Some travel may be required.

The Annual Salary for this position is $34,760.00.

EXAMPLES OF WORK PERFORMED:

  • Organized professional individuals with a background in clerical and administrative support duties.
  • Responsible for operating a personal computer and other office equipment utilizing various computer software programs in the preparation of administrative reports, documents, and correspondence.
  • Research, gather data and prepare written reports and independently initiate special projects.
  • Need to be able to multi-task.
  • Assists the Program Administrator and Operations Management Consultants I and other administrative support staff.
  • Prepares correspondence, reports, memorandums, staff meeting minutes, and other material on general and technical subjects.
  • Prepare, type and submit travel vouchers for ACCESS Program staff.
  • Perform general copying, mail distribution duties daily.
  • Maintain required contact lists.
  • Copy and distribute correspondence and other materials to units and other personnel.
  • Plans workflow and time utilization to maintain high level of productivity and to complete work on schedule.
  • Maintains all files and records of office correspondence, documents, reports, and other materials.
  • Assists with Random Moment Sampling, tracking correspondence, maintaining logs, creating charts and graphs.
  • Handles Client Relations updates and tracking for completion .

KNOWLEDGE, SKILLS AND ABILITIES:

  • Knowledge of the principles and techniques of effective communication, verbally and in writing
  • Knowledge office procedures and practices.
  • Knowledge of standard business formats and styles for letters and business forms.
  • Knowledge of the methods of data collection.
  • Knowledge of basic arithmetic.
  • Knowledge of Microsoft Office Word, Excel, and Power Point. Must be familiar with Adobe and Visio, document scanning and DVS Capture .
  • Ability to deal with the public in a tactful, courteous and effective manner .
  • Ability to organize, maintain, compile, analyze, and review data for accuracy and completeness for management and administrative decisions.
  • Ability to organize and maintain filling systems.
  • Ability to plan, organize and coordinate work assignments.

MINIMUM REQUIREMENTS:

  • Three years of secretarial, clerical, or administrative support work experience. A college education from an accredited institution or vocational/technical training can substitute at the rate of 30 semester, 45 quarter or 720 classroom hours for each year of the required experience. A high school diploma or its equivalent can substitute for one year of the required work experience.
  • Must be able to lift 25 lbs. or more.
  • Six Months of Staff Assistant experience.
  • Telephone Etiquette .
  • Must have a valid Driver’s License.
  • Knowledge of Microsoft Office Word, Excel, and Power Point, and familiar with Adobe and document scanning.
