St. Jerome Emiliani Foster Care Program provides residential services to immigrant and refugee youth through the care of foster parents, supported by program staff. In addition to residential services, youth are provided medical and mental health care, educational services, recreation opportunities, among others. Youth are provided guidance toward self-sufficiency so that they may be successful post discharge from the program.
Office Manager is responsible for providing administrative duties to the program, including organization and coordination of office administration and procedures, to ensure organizational effectiveness and efficiency. The Office Manager is responsible for developing intra-office communication protocols, streamlining administrative procedures, completion, and submission of reports to internal and external stakeholders, submission of youths’ medical insurance initial applications and renewals, program budget oversight, program supply purchases, tracking of employee training and documentation submittal, among other duties.
What you Deliver
- Frequent reporting internal stakeholders, funders, Licensing, and other reports as necessary.
- Timely and accurate completion of financially oriented responsibilities, including but not limited to: proper coding of all check requests, receipts, invoices, reimbursement documents and other documents submitted to the agency’s Accounting department and foster parent reimbursement.
- Effective and professional communication with program staff, foster parents, agency staff, and external stakeholders.
- Purchase supplies for the program when needed.
- Assist with the tracking of employee-required document submittal and annual training hours in the Paycom system, while maintaining confidentiality of staff information.
- Process Reception and Placement (R and P) Funds for Refugee Clients.
- Assist with medical insurance benefits for clients.
- Assist with budget construction and tracking.
- Maintain confidentiality of program or agency information.
- Development of processes and procedures to promote program efficiency.
- Assist with client file management.
- Perform other duties as assigned.

QualificationsThe Expertise We're Looking For
- High School Diploma or G.E.D.
- Two (2) years of experience in office management
- One (1) year of experience overseeing a departmental budget
- Valid Texas Driver’s License

- Knowledge in child development, grief and loss issues, attachment and bonding, family dynamics, adoption, and foster care issues.
- Ability to multitask.

- Ability to work collaboratively with all stakeholders and maintain professional courteous demeanor.
- Ability to maintain accurate personnel files, handle and maintain confidential information.
- Ability to type accurately and to proofread effectively.
- Demonstrated organizational and planning skills.
- Demonstrated success in dealing with a variety of people, staff, clients, and volunteers.
- Strong verbal and written communication skills, command of English language.
- Ability to work under pressure and handle multiple projects at once.
