The Senior Technical Administrative Support professional will provide advanced administrative, technical, scheduling, and visualization support for Military Construction (MILCON) and Installation Communication Grid (ICG) initiatives in support of Marine Corps Installations Command (MCICOM). This role requires an experienced professional capable of bridging technical content and executive-level communication through high-quality graphics, technical documentation, data visualization, and integrated program scheduling. This position serves as a key contributor to program management operations while also functioning as a Subject Matter Expert (SME) in project scheduling and planning. The individual will play a critical role in developing Integrated Master Schedules (IMS), aligning cross-program timelines, and supporting future capability planning to ensure successful delivery of infrastructure and telecommunications initiatives.
What you will do:
Develop high-quality visuals, graphics, and presentation materials to support briefings for MCICOM leadership and senior Marine Corps stakeholders
Translate complex technical concepts into clear, visually compelling formats including dashboards, infographics, charts, and executive summaries
Serve as a Subject Matter Expert (SME) in project scheduling, including development, maintenance, and analysis of Integrated Master Schedules (IMS)
Lead Integrated Master Schedule (IMS) development across multiple projects and programs, ensuring alignment with mission objectives and delivery timelines
Provide future schedule planning support, including long-range planning and forecasting of program activities and deliverables
Support future milestone planning to define, track, and manage key program events and decision points
Perform schedule integration across multiple programs and projects to ensure consistency, alignment, and visibility across MCICOM initiatives
Conduct dependency mapping to identify and manage interdependencies between projects, systems, and stakeholders
Perform critical path analysis to identify schedule drivers and potential impacts to program timelines
Conduct schedule risk assessments and support the development of mitigation strategies to address potential delays or conflicts
Support future capability timeline planning, aligning infrastructure and telecommunications deployments with Marine Corps mission needs
Utilize tools such as Microsoft Project, Primavera P6, or equivalent scheduling software to manage timelines, dependencies, and resource planning
Serve as a subject matter expert in data visualization tools, including Power BI, to develop interactive dashboards and reporting solutions
Provide program management support including schedule tracking, meeting coordination, action item management, and deliverable tracking
Support the development and maintenance of program documentation and reporting artifacts
Provide technical documentation support including development, editing, and formatting of reports, specifications, white papers, and engineering documents
Ensure all deliverables meet quality standards, formatting requirements, and applicable government guidelines
Assist in the preparation of documentation for MILCON processes, including supporting materials for DD Form 1391 packages and design review submissions
Collaborate with engineers, program managers, and SMEs to gather, organize, and present technical information accurately
Maintain document repositories and version control for technical and program documentation
Support the development of standard templates, scheduling frameworks, and visual communication best practices
Ensure alignment with cybersecurity and data management policies when handling sensitive information
What we expect from you:
High School diploma or equivalent required and 10 years of experience in technical administrative support, program support, scheduling, or a related role within federal or defense environments
Demonstrated experience developing and managing Integrated Master Schedules (IMS) for complex, multi-project programs
Microsoft Certified: Power BI Data Analyst Associate
Proven expertise in project scheduling methodologies including Critical Path Method (CPM), dependency mapping, and schedule integration
Experience performing schedule risk assessments and supporting mitigation planning
Advanced proficiency with scheduling tools such as Microsoft Project, Primavera P6, or equivalent
Demonstrated experience in future planning activities, including milestone planning and capability timeline development
Advanced proficiency with Microsoft Power BI, including dashboard development, data modeling, and visualization best practices
Demonstrated experience developing high-quality executive presentations, graphics, and visual communication products
Proficiency with Microsoft Office Suite (PowerPoint, Word, Excel), including advanced formatting and data presentation capabilities
Experience supporting program management functions including scheduling, coordination, and documentation tracking
Strong technical writing and editing skills with experience supporting engineering or infrastructure documentation
Ability to translate technical content into clear, concise, and visually effective deliverables
Familiarity with Department of War (DoW) processes and standards, including MILCON documentation requirements
Strong organizational skills and attention to detail with the ability to manage multiple priorities
Active Secret clearance required
Must be a U.S. Citizen
Bachelor’s degree in Engineering, Information Technology, Graphic Design, Technical Communications, Business Administration, or a related field, a plus.
Experience supporting Marine Corps installations, MCICOM, or other DoW organizations, a plus.
Familiarity with MILCON processes including DD Form 1391 development and design review documentation, a plus.
Certifications in project scheduling (e.g., PMI Scheduling Professional (PMI-SP), a plus.
Certifications or training in graphic design or visual communications (e.g., Adobe Certified Professional in Photoshop, Illustrator, or InDesign), a plus.
Experience with GIS tools or spatial data visualization, a plus.
Familiarity with Unified Facilities Criteria (UFC) and NAVFAC documentation standards, a plus.
Experience supporting telecommunications infrastructure or Installation Communication Grid (ICG) programs, a plus.
