Learning Management System (LMS) Administrator – SAP SuccessFactors
The LMS Administratoris responsible forthe configuration, maintenance, compliance, and optimization of the SAP SuccessFactors Learning Management System (LMS). This role ensures the LMS operates effectively within a validated (GxP) environment andremainscompliant with regulatory requirements, including 21 CFR Part 11 and applicable global quality standards.
The ideal candidate has hands-on experience administering SAP SuccessFactors Learning, supporting validated systems, and partnering with Quality, IT, and business stakeholders tomaintainsystem integrity, audit readiness, and operational excellence.
Key Responsibilities
System Administration & Configuration
• Administer and configure SAP SuccessFactors Learning (roles, curricula, items, assignments, approval workflows, notifications).
•Maintainsystem security roles and access controls aligned with internal policies and segregation of duties.
• Managesystem configurations relatedtolearning assignments, certification programs, retraining rules, and compliance-driven curricula.
• Perform system releases and regression testing in coordination with IT and Qualitypolicies and procedures
Validated Environment & Compliance
•Operateand maintain the LMS in a validated (GxP) environment.
• Support Computer System Validation (CSV) lifecycle activities including User Requirements (URS), Functional/Design Specifications (FS/DS), Risk Assessments, IQ/OQ/PQ documentation, change controls, and test script development and execution.
• Ensure compliance with 21 CFR Part 11, electronic records/electronic signatures requirements, and global regulatory standards.
•Maintainaudit trails, documentation, and system change logs.
• Support internal and external audits and inspections.
Change Management & Release Support
• Evaluate system changes and enhancements forvalidationimpact.
• Lead or support change control processes, including impact assessments and documentation updates.
• Coordinate quarterly SAP SuccessFactors releases, including testing, validation updates, and stakeholder communication.
• Partner withupstream and downstream system ownersto manage integrations (HRIS, SSO, content providers).
Data Integrity & Reporting
• Ensure data accuracy, integrity, and reconciliation between LMS and upstream/downstream systems.
• Develop andmaintaincompliance and operational reports.
• Support regulatory reporting and training compliance metrics.
• Perform periodic data reviews and system monitoring activities.
Stakeholder Support & Training
• Serve as SME for SAP SuccessFactors Learning.
• Provide end-user support and troubleshooting.
• Partner with HR, Quality, Compliance, and business leaders to design scalable learning solutions.
• Develop system documentation, SOPs, and training materials.
Required Qualifications
•Bachelor’s degree in Information Systems, HRIS, Business, Life Sciences, or relatedfield
• 3–5+ years of hands-on SAP SuccessFactors Learning administration experience.
• Direct experienceoperatingand supporting systems in a validated (GxP) environment.
• Strong understanding of Computer System Validation (CSV)principles andmethodologies.
• Working knowledge of 21 CFR Part 11 and electronic record compliance requirements.
• Experience supporting audits (internal, external, regulatory).
• Strong analytical and documentation skills.
• Ability to manage multiple priorities in a regulated environment.
Preferred Qualifications
• Experience in pharmaceutical, biotech, medical device, or other regulated industry.
• Experience with LMS integrations (HRIS, SSO, content providers).
• Familiarity with SAP SuccessFactors release management processes.
• Knowledge of data privacy regulations (GDPR, etc.).
• Experience with reporting tools within SuccessFactors or external BI tools.
