Job Summary: The Senior Scheduling Coordinator is responsible for compiling and maintaining the schedules for 50+ providers for clinic services. This job promotes a patient and family-centered model of care by showing dignity and respect, information sharing, participation, and partnering with the patients and families they serve.Essential Job Functions & Accountabilities: Trains clinic staff on scheduling template usage and acts as a resource for colleagues with less experience.
Solves complex scheduling issues involving moving multiple providers to obtain optimal clinic coverage.
Provides input into the development of operating procedures for the department.
Runs reports regarding scheduling and paid time off (available/used).
Coordinates master clinic schedule with Providers, Practice Managers, and Department Administrator.
Keeps supervisor informed of provider scheduling issues.
Defines duration (units of time) for all activity types per each clinic’s Medical Director.
Creates standard templates for all Clinic Service Resources (time of first and last appointment, number of patients to be scheduled per resource, days of operation; add schedule period and activate schedule).
Provides maintenance of existing resources and templates (standard and/or daily).
Provides next available resource appointments weekly to the Practice Manager.
Resolves scheduling issues with Department Administrator, Physician Leader, Practice Manager, Physicians, and other hospital staff.
Answers telephones, greet and directs patients/visitors to appropriate areas provides information regarding services and other assistance as needed and maintains supplies and forms necessary to perform duties.
Ensures patient confidentiality requirements are met in accordance with established policies and procedures.
Exhibits and demonstrates a high quality of Service Excellence and positive customer service and telephone etiquette by treating all customers with dignity and respect utilizing age-specific skills and knowledge.

Required Qualifications: High School Diploma, GED, or equivalent. 2 plus years of experience providing customer service. 2 plus years of experience in scheduling multi-provider departments or clinics for clinic services. Preferred Qualifications: Experience with Q-Genda
