About the Role:

Responsible for real estate portfolio management, lease administration, contract management, and transaction support across the Company's office, laboratory, and R&D real estate portfolio. Manages lease and contract obligations, supports complex real estate transactions, and serves as a key resource for portfolio reporting, financial compliance, and landlord and vendor relationship management. Reports into Global Real Estate Operations and partners cross-functionally with Facilities/Engineering, EH&S, Space Planning, and Finance to ensure lease compliance, accurate financial reporting, and alignment with business and operational needs.

Your Contributions (include, but are not limited to):

  • Lease Administration & Portfolio Management
    • Support portfolio strategy and real estate planning initiatives through reporting, analysis, and operational insights
    • Maintain and manage lease records, including critical dates, financial terms, and key provisions within lease administration systems
    • Generate and deliver portfolio-level reporting and insights to support real estate decision-making and leadership reviews
    • Track and proactively manage lease expirations, renewals, options, and notice requirements
    • Perform lease abstraction and ensure accurate interpretation and application of lease terms
    • Ensure all lease documentation is complete, accurate, and audit-ready
    • Serve as a knowledgeable resource for lease-related obligations and inquiries
    • Support and coordinate activities related to complex lease transactions and related documentation, due diligence, and execution activities
    • Identify and implement process improvements to enhance lease administration efficiency, reporting accuracy, and operational effectiveness
  • Financial Management & Reporting
    • Track, validate, and reconcile rent, operating expenses, and other lease-related costs
    • Identify and resolve discrepancies in landlord billing and lease financial terms
    • Support budgeting, forecasting, and reporting of occupancy costs and lease obligations
    • Support internal and external audit activities by maintaining accurate, audit-ready lease documentation
  • Property Management & Landlord Coordination
    • Manage real estate-related contracts and agreements, including leases, amendments, renewals, subleases, service agreements, and occupancy-related documents
    • Track contractual obligations, critical dates, notice requirements, and compliance provisions
    • Coordinate contract review, execution, and document retention activities with Legal and business stakeholders
    • Monitor contract compliance and identify potential risks, discrepancies, or business impacts
    • Maintain organized and audit-ready contract documentation and records.
    • Coordinate resolution of property-level issues impacting lease obligations, billing, or tenant rights
    • Monitor landlord compliance with lease terms, including service and operational obligations
    • Track insurance requirements and compliance obligations associated with leases, contracts, and property agreements
    • Maintain and monitor certificates of insurance (COIs) and other insurance documentation to ensure required coverage remains current and compliant
  • Sublease & Subtenant Oversight
    • Administer sublease agreements, including tracking critical dates, financial terms, and obligations
    • Monitor subtenant compliance with sublease requirements and escalate issues as needed
    • Track and reconcile sublease income in coordination with Finance
    • Coordinate with brokers, Legal, and internal stakeholders on sublease activities
  • Lease Systems & Data Management
    • Maintain and manage lease administration platforms, ensuring accurate and complete data entry
    • Serve as a key system user responsible for data integrity, reporting, and portfolio tracking
    • Generate reports to support financial analysis, audits, and portfolio management
  • Transaction & Cross-Functional Support
    • Support lease transactions including renewals, amendments, expansions, and terminations
    • Coordinate with Facilities, Space Planning, Legal, and Risk Management to ensure alignment on lease obligations and operational requirements
    • Other duties as assigned

Requirements:

  • Bachelor's degree in real estate, Business or Finance AND 4+ years of applicable experience in lease administration and/or corporate real estate; or an equivalent combination of education and experience (8+ years) OR

  • Master’s degree AND 2+ years of relevant experience as noted above or an equivalent combination of education and experience (8+ years)

  • Strong working knowledge of lease administration and corporate real estate processes

  • Ability to interpret commercial lease terms and financial provisions

  • Strong analytical, organizational, and problem-solving skills

  • Ability to manage multiple priorities with a high degree of accuracy

  • Strong communication and cross-functional collaboration skills

  • Exercises sound judgment in handling sensitive and confidential information

  • Proficiency in Microsoft Office tools

  • Experience in lease administration or corporate real estate

  • Strong experience managing lease data, critical dates, and financial obligations

  • Experience with lease abstraction and lease documentation management

  • Hands-on experience with lease administration platforms

  • Strong proficiency in Microsoft Excel and reporting tools

  • Working knowledge of real estate financial concepts (rent structures, CAM, escalations)

  • Experience supporting lease transactions and portfolio reporting

  • Experience coordinating with Finance, Legal, Space Planning, and Facilities teams

  • Familiarity with life sciences, biotech, or pharmaceutical environments (preferred)

The annual base salary we reasonably expect to pay is $97,000.00-$133,000.00. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program. Benefits offered include a retirement savings plan (with company match), paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
