Sr. Procurement & Supply Chain Specialist - Materials - Full Time

Shift: 7:30am - 4:00pm

PATIENT POPULATION:

The patient population served is all patients, including geriatric, adult, adolescent, pediatric, and newborn. This also includes services which affect facility staff, physicians, visitors, vendors and the general public.

Under the direction of the department leadership, the Sr. Procurement & Supply Chain Specialist performs advanced procurement, analytical, contract management support, and system optimization functions supporting hospital-wide supply chain operations. This position is responsible for advanced purchasing activities, contract and pricing analysis, inventory data integrity, Healthcare Materials Management Information System (MMIS) optimization, and support of organizational cost containment initiatives.

The Sr. Procurement & Supply Chain Specialist exercises independent judgment in resolving supply chain issues, supporting procedural and operational supply continuity, monitoring contract compliance and pricing alignment, and developing reports and analytics to support operational and financial decision-making.

Must be able to work normal/scheduled working hours to include Holidays, call-backs, weeknights, weekends, and on-call. Agrees to participate, as directed, in emergencies and community disasters during scheduled and unscheduled hours. As a designated disaster service worker, you are required to assist in times of need pursuant to the California Emergency Services Act. (Gov’t. Code §§ 3100, 3102).

EDUCATION/TRAINING/EXPERIENCE:

To perform this job successfully, an individual should have the knowledge and skills typically acquired through college-level coursework in business, healthcare administration, supply chain management, finance, or a related field, or an equivalent combination of education and relevant experience.

Required:

  • Minimum of five (5) years of progressively responsible experience in healthcare supply chain, procurement, inventory management, or hospital operations.
  • Minimum of three (3) years of experience utilizing healthcare materials management information systems or ERP.
  • Demonstrated proficiency with Microsoft Office applications including Excel, Outlook, Word, Teams, and PowerPoint.
  • Experience reviewing, maintaining, or supporting vendor contracts, pricing agreements, or contract compliance activities.

Preferred:

  • Bachelor’s degree in business, Healthcare Administration, Finance, Supply Chain, or related field.
  • Experience with Meditech Materials Management systems.
  • Experience supporting Value Analysis, contract management, inventory optimization, or healthcare analytics initiatives.

Proficient in reading and interpreting various documents, including safety guidelines, operational procedures, maintenance instructions, and manuals. Capable of preparing routine reports and correspondence as needed. Ability to speak and write in English, with the ability to write clearly, comprehend verbal and written instructions, and follow directions accurately.

Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages if required.

Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.

To perform this job successfully, an individual should have advanced computer skills.

Essential Functions:

  • Regular, punctual attendance and physical presence at the assigned work location and workstation, ready to perform job duties at the scheduled start time.
  • Performs advanced procurement and purchasing activities for stock, non-stock, procedural, and operational supply categories in accordance with organizational policies, approved contracts, and operational requirements.
  • Reviews, analyzes, and validates pricing files, vendor agreements, contract compliance, and inventory utilization data to support operational efficiency and cost containment initiatives.
  • Serves as a subject matter resource for the Healthcare Materials Management Information System (MMIS), including item master maintenance, pricing integrity, workflow optimization, and reporting functionality.
  • Develops, analyzes, and distributes routine and ad-hoc reports related to purchasing activity, inventory utilization, contract compliance, supply trends, and operational performance indicators
  • Collaborates with Supply Chain Operations, clinical departments, vendors, Finance, and Accounts Payable to resolve supply chain issues, discrepancies, backorders, and operational concerns.
  • Supports Value Analysis, product standardization, and cost-reduction initiatives through data gathering, operational analysis, and supply chain research.
  • Monitors vendor pricing updates, contract changes, and inventory trends to ensure alignment with organizational purchasing strategies and operational supply needs.
  • Utilizes JIRA (or designated workflow management system) to document supply chain requests, pricing issues, process improvement initiatives, project activities, and operational follow-up actions.
  • Provides guidance and functional support to Supply Chain Operations staff and internal customers regarding procurement processes, inventory workflows, and MMIS-related questions.

OTHER FUNCTIONS:

  • Participates in departmental meetings, training activities, and organizational initiatives as assigned.
  • Assists with departmental audits, inventory reviews, and special projects.
  • Provides operational coverage and cross-functional support during staffing shortages, system downtime, emergencies, or periods of increased operational demand.
  • May assist with onboarding and training of new staff members.
  • Performs other duties as assigned in support of departmental and organizational operations.
