The Sr. Payroll Specialist is responsible for payroll process for exempt and non-exempt employees in US and Canada as well as analyzing current payroll practices, create standard work, develop processes and improvement to make payroll more efficient; and manage payroll tax requirements. The Sr. Payroll Specialist ensures the accuracy of compensation payments to employees.
KEY RESPONSIBILITIES:
- Responsible for processing payroll in a centralized corporate office environment covering Semi-Monthly and/or Bi-weekly payroll processing.
- Complete all payroll compliance requirements monthly, quarterly and annually for US and CAN.
- Support daily payroll processing activities for each pay period (setting up tax withholding, direct deposit, time collection, entering wages, garnishments, child support, compensation changes, etc.)
- Process employee Time & Attendance data from the Time system to payroll and reconcile variances
- Reconcile payroll prior to transmission and validate confirmed reports
- Monitors, maintains, and reviews time entered by employees and reconciles to employee scheduling information in coordination with employee’s supervisor
- Ensure that all payroll is processed accurately, timely and in compliance with all Federal, State and Provincial laws
- Conduct periodic audits of time and attendance, pay, taxes, deductions, earnings and other pay to ensure accuracy and compliance
- Audit new hire entries and terminations for accuracy in the payroll and time and attendance system
- Deliver best-in-class customer service to employees and management, with an emphasis on being responsive, professional, and accurate. Respond to employee inquiries and requests regarding various payroll matters.
- Develop and document standard work for payroll in the US and Canada
- Develop training material and train employees/manager on how to enter information and run reports on time and attendance system
- Responsible for projects such as payroll frequency transfers, acquisitions, HRIS configurations and reorganizations that will affect how we process payroll.
- Manage, audit, and setup the following: Earning codes, Deduction codes, Job Code Tables, Tax Tables, Department Tables, Bonus Plans and Time & Labor System
- Manage and process SUI rate notices and changes
- Respond to tax agency inquiries
- Stay abreast of tax laws/regulations that affect our business (United States & Canada)
- Confirm/update Quarterly Tax Verification notices
- Download quarterly and annual Statement of Deposit & Filings
- Process payment for workers compensation insurance premiums for Ohio, Washington, different provinces in Canada
- Prepare various standard and ad hoc reports and queries for HR and Payroll
- Handle all garnishments, miscellaneous deductions, and vacation/sick accruals.
- Create and calculate manual payroll checks as needed.
- Maintain accurate payroll records and employee files, including reconciliation of payroll
- Maintains employee confidence and protects operations by keeping information confidential.
- Lead Payroll projects and train / couch team members
- Continuous evaluating payroll processes and procedures and providing resolutions.
- Other duties / projects assigned
MINIMUM QUALIFICATIONS:
- 5-10 years Payroll experience required.
- Experience in payroll processing and taxes for different jurisdictions (United States & Canada)
- Workday Payroll experience
- Advanced with Microsoft Office tools such as Excel, Word and Outlook
- Good organizational skills, ability to track information, detail oriented, respond with a sense of urgency, work in fast paced environment with tight deadlines
- Excellent customer service skills
- Able to manage confidential information
- Excellent communication skills
PREFERRED QUALIFICATIONS:
- CPP Certified
- Basic Accounting experience
- Workday Configuration / Implementation experience
EDUCATION QUALIFICATIONS:
- Bachelor’s degree or equivalent experience
