1. Implementation of Coal Purchase Contracts
• Coordinate with Economic Planning & Scheduling (EPS) to align cargo arrival plans with freight and demurrage optimization
• Nominate and negotiate laycan and cargo with term and spot suppliers
• Ensure flawless vessel nomination and acceptance, resolving issues prior to lifting subjects
• Liaise with Finance (Mid and Back Office) for payment terms and cargo insurance
• Issue documentary instructions to suppliers per contract terms
• Address loading/discharging issues promptly
• Notify suppliers of losses, demurrage, and other claims
• Gather evidence in advance for potential disputes
• Support dispute resolution in coordination with Legal, external law firms, and P&I Club
2. Chartering of Vessels for Coal
• Charter vessels and negotiate charter party terms
• Draft charter party agreements based on negotiated terms
• Review existing charter party terms with shipowners
• Coordinate nomination documents with vessel owners and suppliers
• Liaise with operations for terminal/supplier approvals
• Obtain INSA No Objection Certificate and DG Shipping chartering permission
• Prepare and verify freight, bunker, and brokerage invoices
• Ensure timely freight payments per charter party terms
• Follow up with Finance on freight, brokerage, DG shipping fees, and bunker payments
3. Implementation of Voyage Charter Party
• Issue voyage performance instructions to ships
• Monitor vessel performance across loading, passage, and discharge phases
• Review MIS of claims and ensure timely lodging within industry norms
• Review agency nominations and appointments
• Assist in dispute handling and case file preparation with Legal and external counsel
4. Sub-Charter/Space Charter of TC Vessels to PSU
• Implement sub/space charter contracts with PSUs
• Appoint surveyors for quality and quantity assessments at load and discharge ports
• Finalize stowage and tank cleaning plans
• Monitor vessel activity at both ports
• Certify and initiate voyage cost calculations for PSU agreement
5. Handling Product/Coal Demurrage Claims
• Prepare monthly MIS of payable and receivable demurrage
• Negotiate and settle demurrage claims with buyers and suppliers
• Develop action plans to mitigate demurrage based on root cause analysis
6. Support Long-Term Strategic Initiatives
• Liaise with service providers to gather intelligence on load ports, facilities, and expansion activities
• Provide strategic inputs to the Coal Trading Desk
