The Senior Licensing Assistant role will provide general office support and primary assistance to the Field Project Management Senior. This position will integrate information into various databases and run weekly and monthly reports. An essential portion of this position is to work with cross functional
teams to ensure data reliability and compliance. Sending notification emails, arranging team meetings under the direction of the Field Project Management Senior Director, and record meeting notes.
Assisting Licensing team and Field personnel with license applications, renewals and continuing
education credits and courses.

RESPONSIBILITIES

  • Monitor and respond to Operations Policy Change Requests
  • Work within internal licensing databases
  • Track changes with licenses and notify licensees of renewal requests
  • Work with internal training systems to monitor employee compliance
  • General office tasks, including business card ordering, office supply orders, booking traveling for team members and updating team calendars
  • Work on projects within the Electrification Operations and Legal teams and assist with documentation and research on these projects as directed by your manager
  • Work with licensees on applications for new or renewal licenses. Obtain needed documentation from both internal and external sources. Engage in follow up correspondence and phone calls with occasional in person visits where warranted to get license applications processed or approved.
  • Arrange testing for licensees
  • Attend high level planning meetings to document and report on key initiatives and strategies

QUALIFICATIONS

  • 3-5 years office administration experience
  • High School Diploma
  • Proficiency with Microsoft Office, Google Suite, Oracle, Workday, Litmos and 3rd party proprietary software
  • Demonstrated ability to communicate and build credibility with all levels of the organization
  • Professional presence, approachable and friendly, positive attitude and collaborative style with a team orientation
  • Proven experience in creating an excellent team dynamic and soliciting cooperation in cross functional projects
  • Ability to think critically and identify and resolve problems
  • Strong verbal and written communication skills
  • Proven relationship builder with integrity, reliability, and maturity
  • Self-motivated and able to thrive in a result driven environment
  • Detail oriented and strong organizational ability
  • Proven time and task management skills
  • Ability to maintain professionalism always under stressful situations
  • Flexibility in work hours to run meetings across various time zones
  • Travel to team meeting events and various corporate locations upon occasion
  • The ability to train others and monitor their progress

$23.99 to $31.99
