The Sr. Executive Assistant provides high-quality& proactiveadministrative support to thePresidentofProduction Services, Franchise Management & Theatrical Distributionwhile working in a dynamic, fast-paced environment. In partnership with the departmentChief-of-Staffto thePresident, theSr. Executive Assistantprioritizes and executesday-to-dayobjectives toensure the office remains organized, agileand responsive

Responsibilities

  • Manage thePresident’scalendar,prioritizingandorganizing schedules to optimize the President’s time, andpartner closely with the Chief-of-Staffwhen scheduling all meetings, appointments, events, and travel

  • Manage phone calls,messages, and priority call lists

  • Organize, prepare, and submit expense reports 

  • ProvidePresidentwith relevant documents prior to all meetings

  • Liaise with executives, talent, and other assistants internally and externally 

  • Serve as the administrative leadfor thePresident’soffice, partnering with departmental assistants& coordinatorson all aspects of management and coverage

  • Bring strong organizational instincts to structure and maintain office systems, workflows, and priorities, keeping the Presidentand broaderofficeorganized, well-kept,andrunning smoothly

  • Take initiative as an independent thinker, anticipating needs and acting decisively without close direction

  • Ensure logistics and preparation forinternal & externalevents are provided to thePresidentin a timely and organized manner

  • Partner with the Chief-of-Staff and Leadership team to plan, coordinate, and execute departmental events, town halls, and offsites

  • Represent thePresident and thedepartment in a professional manner and manage all work with highest degree of confidentiality – exercising discretion, judgment and diplomacy

  • Maintain, organize, andfileall important documents, files, and records

  • Manage mail into and out of the office

  • Ad-hoc projects as necessary

BasicQualifications:  

  • 5+ years administrative experience supporting a senior level executive (Agency, Production or Studio environment preferred). 

  • Positive attitude and demonstrated ability tobe proactive, independentandresourcefulto solve problems  

  • Detail oriented with the ability to work well and maintain professionalism under pressure 

  • Ability to manage complex schedules, prioritize, meet deadlinesand handle multiple responsibilities& projects

  • Excellent communication skills, both written and verbal 

  • Strong computer literacy and proficiency with SAP, Concurand Workday and working knowledge ofMicrosoft Office,Keynote preferred

  • Ability to work with confidential information 

  • Strong people skills, including the ability to work effectively as part of a team 

  • Applies good instincts and judgement navigating complex situations and environments

  • Must be available to work overtime on evenings and weekends as needed and approved

  • Must be able to work onsite in Burbank, 5 days per week

Education:

  • Bachelor’s degree or equivalent work experience

The hiring range for this position in Burbank, CA is $95,500 to $128,000 per year based on a 40 hour work week. The amount of hours scheduled per week may vary based on business needs. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
