Duties & Responsibilities
Buying – 30%
- Work with engineering team to ensure all required documentation and specifications for material are available
- Develop RFQ package as appropriate and obtain binding quotes when necessary
- Negotiate with suppliers to ensure best delivery and pricing terms
- Ensure that POs are placed in a timely fashion to support committed delivery plan
- Publish material availability report to project team
- Work closely with vendors to expedite material as required supporting committed project schedule
- Work with finance team to ensure suppliers are paid in a timely fashion
- Alert management and SCM teams when escalation is required
- Able to provide material spending report for each NPI project
Supply Chain Management Process – 10%
- Work with SCM team to ensure that material is selected from AVL/APL when possible
- Work with SCM team to ensure that new vendors and materials are added to system as required
- Work with engineering team to ensure that BOM is properly loaded into Agile, Oracle and other systems as appropriate
Import & Export Logistics – 60%
- Responsible for the whole-process logistics planning and execution of import and export goods, select appropriate freight forwarders, customs brokers and transportation companies according to order requirements, determine the optimal logistics plan (such as sea freight, air freight, land freight), and control logistics costs.
- Rely on the company's logistics management system to track the whole process of each import and export shipment, upload a full set of data such as customs declaration forms, packing lists, invoices and contracts as required, and follow up the progress of data review in the system to ensure efficient approval.
- Connect with freight forwarders and customs brokers to complete the customs declaration and inspection of import and export goods, prepare and submit a full set of compliant documents, ensure that the document information is consistent with the data uploaded in the system, meets the requirements of customs and commodity inspection policies, and ensures the smooth customs clearance process.
- Track the dynamic transportation of goods throughout the whole process (departure, transshipment, arrival at port/warehouse), update the logistics progress in the system in real time, synchronize feedback to business, procurement and other relevant departments, and timely handle abnormal situations such as delays, damage and loss during transportation, so as to reduce logistics risks. Identify the risk materials and components across projects and add it safety inventory
- Responsible for the sorting and filing of relevant import and export logistics documents
- Pay attention to the update of relevant policies and regulations on import and export logistics (such as customs supervision requirements, tariff adjustments, trade barriers, etc.), synchronize to the internal team in a timely manner, ensure the compliance of import and export logistics processes and system operations, and avoid policy risks.
- Coordinate and handle the connection between warehousing and delivery after goods enter/exit the country, connect with the warehousing department to complete goods warehousing, follow up the final delivery progress, and ensure that goods are delivered to customers or production ends in a timely manner.

Qualification & Requirements
- BA or BS in Engineering, supply chain management or international trade, logistics management or related field.
- 5+ years of experience in procurement, inventory management, buyer assistant, or project assistant, or in import and export logistics,
- Experience using an ERP system (e.g., SAP, Oracle, Microsoft Dynamics) for procurement and inventory modules is preferred
- Solid understanding of procurement and inventory management principles
- Have experience in logistics system operation, familiar with the whole process of customs declaration, inspection and relevant document processing.
- Strong data analysis and numerical skills, with high proficiency in Microsoft Excel (e.g., PivotTables, VLOOKUPs).
- Excellent attention to detail and accuracy in handling orders and inventory data
- Strong verbal and written communication skills both for Mandarin and English, with the ability to effectively interact with suppliers and internal teams.
