What you'll be doing
You'll be joining the Mobile Advice Operations team as a Senior Coordinator, where you'll play a key role in supporting the department's administrative activities and ensuring smooth day-to-day operations. In this role, you'll validate outstanding Home Power Plan (HPP) document packages, complete pre-approval letters for Mortgage Advisors, track repatriation information for the Mortgage Options Support (MOS) team, and refer declined mortgages to the appropriate MOS representative. You'll also perform ad-hoc tasks such as MA EDR Compliance testing and are responsible for preparing daily, weekly, and monthly reports. Your proactive approach will help identify opportunities for process improvements and contribute to the ongoing success of the team.
At CIBC we enable the work environment most optimal for you to thrive in your role. You'll have the flexibility to manage your work activities within a hybrid work arrangement where you'll spend 1-3 days per week on-site, while other days will be remote.
How you'll succeed
Administrative Excellence – Validate outstanding HPP document packages and report discrepancies on a weekly and monthly basis. Prepare and send pre-approval letters to Mortgage Advisors within service level agreements and produce regular reports. Track repatriation information sent to the Mortgage Options mailbox and coordinate validation. Record and send declined mortgage details to the assigned MOS and upload the Daily Decline Report on SharePoint for the MOS team. Grant SharePoint access to users as required, maintain trackers for accurate reporting, and carry out EDR testing on selected samples.
Collaboration and Training – Work independently or collaboratively with team members and assist in training colleagues to support administrative functions.
Effective Communication – Demonstrate strong interpersonal and communication skills, including active listening, clear and concise messaging, and timely responses to mailbox queries.
Process Improvement – Proactively identify and recommend process enhancements to increase productivity and efficiency, collaborating with senior team members to implement best practices.
Who you are
You have strong technical skills. You’re proficient with CIBC applications such as ECIF, COINS/CLASS, and mMortgage, as well as Microsoft products like Word, Excel (including pivots and formulas), and Outlook.
You know mortgages. You have working knowledge of the mortgage process and the compliance requirements associated with it.
You thrive under pressure. You’re able to prioritize, multitask, and maintain a high level of accuracy and productivity while meeting deadlines in a fast-paced environment.
You’re detail oriented. Your strong time management and organizational skills, along with your critical thinking abilities, help you notice important details and make informed decisions.
