The Sr. Contract Specialist, Site Facility Services is responsible for overseeing facility services that support daily operations, workplace standards, and overall campus appearances. This role manages vendor-delivered services including janitorial, pest control, landscaping, window cleaning, elevators, bio-basins, and other site support functions across office and laboratory environments at multiple campuses.
The Sr Specialist ensures all services are delivered in accordance with company standards, contract requirements, and budget expectations. This position is accountable for vendor performance, service quality, contract compliance, and cost control while maintaining a clean, safe, and well-maintained environment.
This role partners closely with Facilities, Environmental Health & Safety, and site stakeholders to ensure consistent execution of services and continuous improvement of site conditions.

Leads development of service-level requirements and statements of work for facility service contracts. Oversees site-wide facility services including janitorial, pest control, interior and exterior landscaping, window cleaning, elevators, bio-basins, and general site support services
Manages day-to-day vendor performance, ensuring services are delivered in alignment with contract scope, service levels, and company standards
Conducts routine site inspections of office, laboratory, and common areas to ensure cleanliness, safety, and overall site condition meet expectations
Maintains and manages vendor contracts, ensuring scope adherence, performance expectations, and cost control; identifies and mitigates scope creep
Coordinates contract administration activities, including submission and tracking within Coupa and Agiloft systems
Reviews and approves vendor invoices, ensuring accuracy, alignment with contract terms, and proper cost allocation
Develops and maintains service schedules for routine and periodic services such as deep cleaning, pest control treatments, and landscape maintenance
Partners with Environmental Health & Safety to ensure pest control, waste management, and sanitation practices meet regulatory and company requirements
Coordinates seasonal and project-based services, including landscape enhancements, pressure washing, and specialty cleaning services
Responds to service issues and escalations, ensuring timely resolution and minimal disruption to operations
Maintains service documentation, vendor records, performance metrics, and inspection logs
Monitors workplace conditions and escalates maintenance, cleaning, or operational concerns as needed, including scorecard management for vendor performance
Supports budget tracking for site services, including forecasting and monitoring of service-related expenses
Identifies opportunities for service improvements, cost efficiency, and vendor optimization. Makes recommendations regarding service enhancements and process improvements
Serves as primary point of contact for facility services vendors and internal stakeholders

High School Diploma and 8+ years of experience in facilities services, building services, or vendor management roles, including experience overseeing service providers; or an equivalent combination of education and experience OR
Bachelor's degree in business, Hospitality, Facilities Management or related field and 4+ years of experience in facilities services, building services, or vendor management roles, including experience overseeing service providers; or an equivalent combination of education and experience
Experience managing facility services programs including janitorial, pest control, landscaping, and other vendor-delivered site services
Demonstrated experience managing vendor performance, contract compliance, service-level expectations, and issue resolution
Ability to evaluate service performance data and implement improvements that enhance quality, operational efficiency, and cost effectiveness
Experience administering service contracts, reviewing invoices, monitoring expenditures, and supporting budget forecasting activities
Working knowledge of contract management and procurement systems such as Coupa and Agiloft or similar platforms
Experience conducting facility inspections, assessing service quality and identifying operational risks or service gaps
Understanding of cleaning standards, pest management practices, workplace services, and facility maintenance requirements in office and laboratory environments
Ability to independently prioritize competing operational demands and make sound decisions within established policies and procedures
Demonstrated ability to manage multiple vendors, projects and service programs simultaneously while maintaining a high level of accuracy and responsiveness
Experience collaborating with cross-functional stakeholders to resolve issues, improve service delivery, and support site operational objectives
Strong analytical, communication, and problem-solving skills with the ability to recommend process improvements and drive continuous improvement initiatives
Advanced proficiency in Microsoft Office applications, including Excel for tracking, analysis, reporting and performance metrics
Demonstrated understanding of how facility service operations impact employee experience, laboratory operations, business continuity, and regulatory compliance
Requires strong working knowledge of facility services operations, vendor management, contract administration and workplace standards
Understands how site services impact Facilities operations, employee experience, laboratory operations, business continuity and regulatory compliance
Works independently on moderately complex operational issues involving vendor coordination, service delivery, contract performance and cost management
Uses sound judgment to prioritize work, evaluate alternatives, resolve issues, and maintain service quality across multiple programs and locations
Applies knowledge of processes, systems, and service requirements to identify and implement operational improvements that enhance efficiency, service quality, and cost effectiveness
Provides direction to vendors and contract service providers and serves as a resource to stakeholders to ensure consistent execution of contracted services and adherence to established standards
Demonstrates strong organizational, communication, analytical and problem-solving skills with the ability to manage multiple priorities and deadlines effectively

The annual base salary we reasonably expect to pay is $97,000.00-$133,000.00. Individual pay decisions depend on various factors, such as primary work location, complexity and responsibility of role, job duties/requirements, and relevant experience and skills. In addition, this position offers an annual bonus with a target of 20% of the earned base salary and eligibility to participate in our equity based long term incentive program. Benefits offered include a retirement savings plan (with company match), paid vacation, holiday and personal days, paid caregiver/parental and medical leave, and health benefits to include medical, prescription drug, dental and vision coverage in accordance with the terms and conditions of the applicable plans.
