Job Description

Mercy Home for Children located in the heart of Brooklyn NY is recruiting for a Senior Administrative Assistant to work closely with the Executive Director in managing the overall administrative duties in the agency. This key position will coordinate with the administrative team, board of directors and staff to enhance operations and oversee the switchboard area. In addition, the handling the following duties:

  • Serves as personal assistant for the Executive Director in answering & directing calls, maintaining the calendar of events, troubleshooting and handling requests for information
  • Booking travels arrangements and updating expense reports
  • Maintains confidential information and distributes to appropriate parties
  • Assist with processing timecards
  • Handles special projects
  • Oversees the switchboard area with scheduling and fill-in when needed, as well as provides support for the Administrative Assts.
  • Schedules meetings and take detailed board minutes, presentations, letters and reports, as assigned
  • Receives, sign, sort and distributes UPS/Fed Ex packages & regular mail to the departments
  • Maintains & ensure postage machine is operating full capacity & assist with bulk mailings
  • Schedule and prepares rooms for meetings, arrange for materials and refreshments, as requested
  • Ensure Kitchen and office supplies are readily available, establishing proper inventory
  • Performs other related duties as assigned

Requirements

Two-three years progressive administrative experience in a nonprofit or human services field. Ability to carry out oral and written directions, communicate effectively, computer literate with Microsoft Office, PowerPoint & Excel software. Be a self-starter, pay attention to details and able to handle multiple priorities. Must have the ability to work autonomously and switch gears when needed. Valid & unrestricted NYS Driver's License. Some College is preferred. Will be asked to provide a copy of COVID vaccine card and education.

Mercy Home for Children will provide after completion of 30 days of employment the next following month full medical, dental, vision and prescription coverage. After 6 months of employment, you will be able to request paid vacation time off, sick time, birthday off, 403 (b) with Mutual of America, Afflac & Legal Shield and wellness programs.
