This role provides administrative and operational support to LATAM Head and Managers from Data Integration & Automation (DI&A) Management Team, Local and regional on operational activities, administrative tasks, logistic support, meeting management and interaction with other internal and external stakeholders for business purposes (HR, Talent Attraction, Procurement, IT, Legal, Compliance, Facilities, Security, etc.) and 3rd parties. This role will report the DIA LATAM Regional Head supporting for Digital Transformation, Innovation, Communication and Special projects.
Responsibilities include but are not limited to:
Perform advanced secretarial/clerical/ administrative activities, with a history of high performance.
Experience working with sensitive/confidential documents, preferred.
Calendar scheduling/planning; coordinating and scheduling complex multi-leg and international travel arrangements.
Concur experience processing: Expense Reports; Purchase Orders and Payment Requests; as well as the capability to run reports within Concur.
Tracking and compliance of payment process, invoice reception, purchase orders and charge backs from specific projects.
Produces/completes various work assignments requiring analytical ability, independent judgment, creativity and problem-solving skills.
Develop reports, presentations, tables, graphs, correspondence and conduct light research using appropriate software.
Communication Skills must be at a level to effectively interact with Company executives, managers, employees, and internal/external clients to maintain workflow, graphic design in a digital and tech-savvy environment.
Coordinates special projects, as assigned from time to time.
Demonstrated experience with processing of Visas/Passports
Experience with event planning and coordination
Experience with financial and budget tasks
Education and Experience
Required: Professional Degree in Business Administration and Related Careers
Preferred: Advance education or certifications such as (e.g. Certified Administrative Professional, Project Management Professional Certification, Professional in Human Resources Certification)
Language English Business Proficient
Minimum of 5 years Administrative Assistant Experience
Minimum of 3 years administrative experience supporting Director/Manager
Experience supporting directors/managers remotely
Advanced computer skills using MS Office Suite (Outlook, Word, Excel, Power Point etc.) and operation of other peripheral devices.
