Job Description

In this critical role, you will provide high-level administrative and operational support to executive leadership, helping ensure the efficient execution of business priorities, strategic initiatives, and day-to-day operations. This position requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities while maintaining a high level of accuracy and confidentiality.

  • Manage and maintain executive calendars, schedules, meetings, conferences, teleconferences, and travel arrangements.
  • Coordinate meeting logistics, prepare materials, and document meeting minutes when needed.
  • Prioritize, compile, and distribute correspondence and communications on behalf of executive leadership.
  • Screen and respond to incoming calls, messages, and requests while ensuring timely follow-up.
  • Draft, proofread, and finalize correspondence, reports, presentations, memorandums, and other business documents.
  • Process purchase requisitions and expense reports accurately and efficiently.
  • Maintain strict confidentiality while handling sensitive business and personnel information.
  • Serve as a liaison with internal departments, external partners, vendors, and stakeholders.
  • Manage office supplies, equipment, records, and filing systems to ensure smooth office operations.
  • Assist with special projects and organizational initiatives as assigned.
  • Anticipate executive needs and proactively address priorities to support business objectives.
  • Associate's degree in Business Administration or a related field, or an equivalent combination of education and experience.
  • Minimum of five (5) years of administrative support experience, preferably supporting senior leaders or executives.
  • Strong written and verbal communication skills.
