Specialty Care Category Division Assistant

This role will provide a full range of administrative support to the Pfizer Specialty Care Category team, including direct support to the Category Director.

• Vendor & contracting: Create Contract Requests (CR) and MAPP records for existing and new vendors (agencies, associations, HCPs, etc.). Conduct legal documentation and processes.

• Purchase Orders & invoicing: Organize the PO and expense report process for submissions and track progress closely. Manage PO–invoice tracking through to closure and ensure proper invoice routing.

• Meetings & events: Organize headquarters meetings, including catering and food arrangements. Support the planning of team meetings and prepare related reports.

• Travel: Coordinate travel arrangements and prepare related itineraries and reports.

• Documentation & archive: Manage the department's documentation archiving process and keep the archive updated (hard copy and electronic).

• Communications: Create and update mailing lists. Announce birth, death and marriage information to Pfizer.

• Patient Support Programs: Support and coordinate Patient Support Programs and respond to incoming questions if needed.

• Executive support: Proactively manage calendar, anticipate conflicts and resolve them in advance. Prepare and track expense reports. Assist with meeting scheduling, conference room reservations and related meeting logistics

• General: Support and coordinate donation processes such as collecting required documents, following POs, delivery and budgeting. Provide project management assistance when needed.

• Management of information: Use appropriate discretion in the management of information

Qualifications

• Bachelor's degree

• Previous experience that demonstrates the ability to proactively carry out administrative functions proficiently, and to complete quality work in a timely manner

• Excellent communication skills in English and Turkish

• Demonstrated resourcefulness, with the ability to anticipate needs, prioritize responsibilities and take initiative

• Proficiency in MS Word, Excel, PowerPoint and Outlook is essential

• Strong organizational skills with a proven ability to prioritize and work independently
