The Operations Associate plays a crucial role in maintaining the efficiency and accuracy of logistics operations through meticulous administrative and clerical support. Managing essential office tasks, coordinating logistics activities, and providing comprehensive support to the team. This role demonstrates dependability in handling tasks, a caring attitude towards team collaboration, a proactive approach to improving processes, and a forward-thinking mindset to anticipate and solve challenges, all contributing to the operational success of the company.
Focus on customer needs and requirements as a priority
Pro-actively inform customer about any irregularities and provide alternative solution
Read and follow instructions defined in customer specific SOP’s
Organize the day to day running of specific import / export operational duties
Coordinating import / export shipment with local & oversea customers, airlines/carriers, sub-contractor, agents and truckers for all import and export related transportation
Liaise internally and externally with all departments, third party carriers, forwarders, agencies in the execution of those duties
Prepare,createand execute correctly and efficiently completed documents relating to import/export consignments
Monitor daily import/export shipment/delivery requirements
Attend to all designated destination export customs documents and facilities via the Hellmann Freight TMS system
Maintaining latest customer contact to ensure quality service provided to customer
Monitor and report where possible all import/export consignments within designated destinations and overseas sources were relevant
Ensure completion of all consignment tasks from receipt of booking, organizing national and international transportation, formally documenting and accounting
Adhering continuous improvement procedure through best practice to increase competence level of ocean/air freight related process to achieve performance, quality,complianceand service level growth
Becomerelatively conversantin the regulations, cultures and laws of those designated countries served
Be aware and practice specific duties in relation to the legal import/export movement of all hazardous goods
Support country on systemrollout
Assistimplementation of new customers, review SOP and provide pro-active feedback
Issue internal / external invoices according to agreed rates and services provided
Excellent communication and customer service skills
End to end Air/Ocean Freight Import / Export experience is essential
Able to plan work and meet deadlines
A pro-active attitude
Ability to work under pressure to cope with periods of high workload and tight timelines
Willingness to work overtime to meet deadlines whenrequired
