The Documentation Management Support Specialist identifies and index documents. Provides document support by monitoring and processes electronic mail for Customer Service and Loan Resolution Departments.

Job Requirements

Education

  • Bachelor’s Degree in finance preferred.

Relevant Experience

  • One to two years' Mortgage Servicing experience preferred.
  • Overall experience of 2 to 4 years.

Technical Know-how/Tools used

  • To perform this job successfully, the candidate should have strong knowledge of Microsoft Office (Word, Excel, Outlook) and Internal Software.

Roles & Responsibilities

Operational Excellence

Ensures that correspondence, faxes, and emails are identified and processed within 24 hours of receipt. Enters task tracking codes in the servicing system for each mail type.

Stakeholder Management

Liaise with the operations team, vendor management team, and auditors to resolve any exception, as and when required Communicate with US team members and local leaders to resolve issues and maintain a smooth flow of processes

Governance & Compliance

Establish proper records, approvals, documentation, and audit trails for all transactions Ensure adherence to the implementation of effective governance, compliance, and risk management frameworks Manage issues to mitigate impact and risk by early detection of risk items & active team involvement

Key Result Areas

Processes incoming emails within 24 hours of receipt. Indexing and incoming documentation accurately.
